Job Description

Our client is looking for Programme Support Officer who is able to take, document and distribute accurate meeting minutes via Teams and face to face meetings, organise meetings, act as document librarian on Microsoft teams channel,. They will also need todistribute and collate information via Outlook email, may be requested to travel to different sites between Darlington, Peterlee, Newcastle as part of a regional project central team.Minute Taker / Programme Support OfficerLocation: StanleyThe successful candidate will be expected to travel to Darlington, Peterlee and Newcastle to take minutes at meetingsJob Type: TemporaryDuration of booking: Expected to last up till November with possible extension.Proposed start date: ASAPSector: HealthcareBase: HospitalPay Rates:Band 3£12.00 to £12.50 paye inclusive of holiday pay per hour depending on skill and experienceWorking Days and Hours: 30 hours a week, Monday to Thursday or Tuesday to Friday, 9am-5pm each dayTravelling for work purposes: Travel to different sites within the trust, locations will be Darlington, Peterlee and NewcastleJob Purpose As a member of the regional Path5 Laboratory Information Management System (LIMS) Programme Management Office to provide programme support to and act as configuration librarian for the regional LIMS project.

  • The post holder will provide programme administrative support to the LIMS Programme Management Team.
  • The post holder will provide administrative support to the key governance groups established to support the monitoring and delivery of the LIMS Programme.
  • The post holder will provide support to projects with budgets in excess of £½m
Duties
  • This will involve taking, documenting and distributing accurate meeting minutes via Teams and face to face meetings
  • Organise meetings, act as document librarian on Microsoft teams channel.
  • They will also need to distribute and collate information via Outlook email, may be requested to travel to different sites between Darlington, Peterlee, Newcastle as part of a regional project central team.
  • Responsible for providing comprehensive and effective administrative and project support to the LIMS Programme Management Office, and projects within the programme.
  • As the Project Configuration Librarian, the post holder will have responsibility for document management, following document control procedures, ensuring that electronic documents are up to date, clearly labelled with the correct revision dates and versioncontrol, and are filed in the appropriate Directory as outlined in the Project Management file structure.
  • In the role of Configuration Librarian advise the Programme Management Office on classification of documents; responsible for ensuring control procedures are adhered to by the Team.
  • In conjunction with the Programme Management Office, undertake the collation, interpretation and dissemination of information on activities, best practice and processes related to current Projects.
  • Be a central point of contact for stakeholders affected by and involved in projects; these could include both Trust staff and staff of other organisations.
  • Ensure existing information on local and national databases is accurate and up to date and responsible for the collation and validation of new information pertaining to projects.
  • Query databases and extract data from local and national information systems to be used by the Programme Management Office.
  • Organisation and facilitation of programme meetings and other activities as required.
  • And other duties as required, by the LIMS PMO central management team
Qualifications, Skills and Experience
  • Minute taking experience is essential
  • GCSE English Language and Maths Grade C or above or equivalent
  • Educated NVQ level 3 ( A’ level or Advanced Diploma) or equivalent experience
  • Good knowledge of and ability to use appropriate computer hardware and software, including Microsoft Office and MS Project, together with appropriate keyboard skills.
  • Excellent organisational, inter-personal and communication skills
  • Experience of working with staff at all levels.
  • Experience of providing administrative support in a Team Environment
  • Meeting coordination and facilitation.
  • Able to travel independently across Trust sites to meet the requirements of the post, locations will be Darlington, Peterlee and Newcastle
