Job Description

Job Purpose:Provide exceptional support to multiple members of the Exec team.KeyAccountabilities:

  • Diary management and Outlook support when required
  • General typing of letters, orders, reports, spread sheets and presentations
  • Provide a professional response to enquiries by phone, online and face to face
  • Proactively remind stakeholders across the business of deadlines for reports, actions, meetings and submissions
  • Work without supervision and anticipate the needs of the Exec
  • Obtain and collate materials ahead of meetings
  • Coordinate and implement meeting arrangements including sending invites with agenda, booking meeting rooms, organising equipment and appropriate catering
  • Maintain digital records alongside paper document filing and retrieval
  • Preparation, reconciliation and submission of Exec expenses
  • Booking accommodation and travel as required
  • Preparation and collation of reports, taking and distributing minutes, presentation slides etc
  • Maintain strong working relationships across business functions
  • Work closely with and cover the holidays of other PAs in the business
  • Binding of the Board Papers
Person Specification
  • Full range of PA skills including organisation, prioritisation, forward planning and administration
  • Approachable, flexible and professional
  • Ability to communicate confidently at all levels

  • Able to handle sensitive information and maintain confidentiality
  • Strong planning and time management skills
  • Creative approach to problem solving with the ability to work effectively under pressure
  • Excellent attention to detail and accuracy skills
  • Excellent calendar management skills, including the coordination of complex executive meetings
  • Experience assisting management with the creation of PowerPoint presentations
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
  • Experience of scheduling travel arrangements
