Job Description

About Helix Energy SolutionsHelix Energy Solutions are an international offshore energy company that provides specialty services to the offshore energy industry, with a focus on well intervention, robotics and full-field decommissioning operations.They are looking to bring in a Admin Support Apprentice to their growing team in Aberdeen, if you have a passion for Administration this could the one that could be for you to kickstart your career!Duties & Responsibilities:

  • Preparing documentations and formatting as required using Word
  • Distribution of documents and reports as requested
  • Using Outlook for sending emails to internal/external stakeholders
  • Recording, typing and distribution of minutes of meetings when requested with using WORD.
  • Booking onshore personnel’s’ travel and accommodation
  • Keeping diaries and track of management movements for holidays, meetings etc
  • Organising conferences/meetings either in or out of house
  • Organising catering for the above when required
  • Preparation of any presentation/meeting materials
  • Filing, Archiving and Photocopying as required
  • Updating Department CV’s
  • Dealing with any other ad-hoc administration needs
Reception
  • Greeting all visitors on arrival, ensuring they sign in accordingly & advising the person who they are to meet with on their arrival
  • Switchboard Operation (answering & transferring telephone calls)
  • Taking and distributing messages
  • Making tannoy announcements as required
  • Sorting all incoming mail & courier packages
  • Franking outgoing mail for afternoon collection & preparing all courier paperwork
  • Opening all invoices & date stamping them
  • Managing stationary stocks and ordering supplies as and when required
Facilities
  • Deputise for the Facilities Coordinator, carrying out building inductions as required.
Required Skills/Qualities:
  • Excellent oral and written communication skills
  • Excellent organisation skills
  • Knowledge of Microsoft Word / Excel / Outlook essential
  • Proven ability to remain calm and professional when dealing with various priorities
Additional Information:
  • Salary: £14,000 - £15,000
  • Hours of work: 37.5 hours - Mon - Friday 8.30am - 5pm. There is some flexibility in the start and finish times.
