Job Description

My client at Marine Management Organisation, is looking for an Income Officer (Executive Officer) to join their amazing team as soon as possible. If you feel you have the right experience and skills to join the team, then look no further!Location: Newcastle (Lancaster House - NE3) - Hybrid - 2 Day Working from Office / 3 Days WFHRate of Pay: £13.37 (Weekly Pay)Hours: Full time - 9am to 5pmStart Date: ASAPContract: 3 Months initially with the possibility of extension.The purpose of the role is to provide an effective Billing/Invoice service for MMO, ensuring all invoices are completed in a timely and accurately fashion, and all necessary actions for outstanding/aged debt are taken.Key Relationships:

  • MMO teams including coastal offices, Marine Conservation and Enforcement, Marine Planning, Evidence, Legal and Communications, Marine Licensing, Fisheries Management, SSCL, and Core Finance.
Day to Day:
  • Achievement of personal targets and KPIs.
  • Ensure the MMO values and code of conduct are embedded in your daily activity and to provide feedback to others.
  • Comply with MMO policies and procedures at all times.
  • Develop customer and stakeholder relationships to enable mutually satisfactory results.
  • Maximise opportunities to continually learn about your role and yourself.
  • Support Finance SLT, corporate initiatives and ELT as required.
  • Positively promote the MMO "brand" outside of the organisation
  • Any other reasonable duty as directed by the organisation.
  • Ensure all invoices are completed accurately and timely.
  • Ensure all billing/invoice queries are cleared within agreed timescales.
  • Ensure outstanding invoice/debt position is routinely monitored, with agreed action taken within agreed timescales.
Billing and Financial Duties:
  • Ensure that there is a regular flow of quality assured billing information.
  • Preparation and distribution of detailed invoices to customers.
  • Maintain 100% accuracy of the invoices and address any data quality issues as soon as identified and amend processes where necessary.
  • Responsible for ensuring that overdue/bad debt is managed and appropriately escalated.
  • Responsible for effectively managing receipts and reconciling payments.
  • Operate as primary point of contact within Marine Licensing for all billing enquiries from internal and external stakeholders.
  • Responsible for addressing customer billing enquiries received by the Marine Licensing team, focusing on identification and resolution of issues, particularly focusing on complex areas.
  • Working with internal departments and directly with our clients to resolve issues, where necessary.
  • Responsible for ensuring where charges/fees cannot be billed, they are accrued and captured in the MMOs Management Accounts as well as assisting in the preparation of analytical reports such as quantity of un-invoiced work (billable activities) betweenset dates.
  • Identify improvements to current processes, utilising digital capability to enable process efficiency.
  • Ensure key activities and time lines are understood and communicated to relevant parties to enable successful completion of bill-runs.
  • Build connections and relationships across the department understand best practice, and build effective relationships with internal and external customers.
Essential Knowledge, Skills & Experience Required:
  • Experience of working in a finance discipline.
  • Strong analytical skills.
  • Ability to communicate effectively with a range of people, in a range of media.
  • Capacity to work through complex processes and resolve issues leading to a satisfactory solution.
  • Ability to engage with a wide range of internal and external stakeholders.
  • Experience of delivering excellent customer service.
  • Strong IT skills including the use of Excel.
  • Ability to plan, prioritise and control workload to deliver results to agreed timescales.
