My client is recruiting a Office Manager with experience in a law firm to join their practice in Mayfair, London.They are a full-service international law firm and are listed in the Legal 500.You will be carrying out various secretarial, reception and administration duties as this is a very varied role.Duties:• Opening files for FF• When one has extra capacity to archive files as and when necessary• Recalling a box (file) from Iron Mountain• to be one of the First Aid Officers.• Maintaining a GDPR Compliant Accident Book: In the reception areas next to first aid box.• Primary responsibility for monitoring issues and maintaining systems• Take responsibility for making sure the building is always safe & secure.• Must keep the Head of Office informed.• Provide feedback, late starts and instructions to cleaners.• Monitor and assist with system maintenance• Take Minutes of the meetings if required.• Maintaining systems / liaising and ordering as necessary• Complete various forms on DocuSign• Printing, scanning & binding etc.• When requested conduct Smart Searches, Companies House, Lawyer checker etc.• First point of contact for Tennant• Assist with any maintenance issues, etc and report to Head of Office.• Dealing with the ordering of office suppliers• Update telephone lists when a new joiner starts • Responsible for enrolling new joiners on various IT systems• Responsible for ordering Business Cards for fee earners • Responsible for mainaing printers• Responsible for maintaining office security, issue of keys to new joiners etc.Manage and assist with all office systems and proceeduresExperience required:• At least 2 years spent working as a Receptionist / Office Manager / Facilities Manager within a law firm• Excellent standards of spelling, punctuation and grammar• Proven experience of producing legal documents and correspondenceShould you have any questions or wish to apply please do not hesitate to contact Clear Legal and Financial RecruitmentPlease Note: Due to the number of applications we receive we may be unable to respond to every application directly.
