Job Description

I am working exclusively with our Helmsley based client as they are recruiting a Business Administrator to join them on a permanent basis.As the successful candidate, you will assist the business with all aspects of their administration, however this will be predominantly within the Purchasing, Health & Safety and Finance department. You will be able to interact effectively with all staffto build strong working relationships, you will also have a methodical approach to you work.Duties will include, but are not limited to;

  • Supporting project related procurement of bespoke materials
  • Issuing requests for quotes, entering date from returned quotes and issuing of purchase orders.
  • Procuring non-project related ad hoc consumables required for the business promptly, to levels that ensure that nothing needed is out of stock or overstocked
  • Ensuring deliveries are tracked and checked in a timely manner and advise any discrepancies or delays urgently.
  • Preparing all documentation required for customs regarding cargo, including preparation of individual traveler packs to ensure clear communications with all parties and no custom delays
  • Maintaining Health and Safety records including Risk/COSHH Assessments / and Equipment testing/inspections
  • Monitoring and updating all Health & Safety tasks in the company diary
  • Arranging and overseeing inspections and testing of tools and equipment to schedule
  • Ensuring all personnel hold up to date certificates as required to be legally compliant
  • Supporting the workshop with offloading of deliveries and checking off goods as required.
  • Reviewing and verifying invoices from contract partners to ensure invoices are paid to contracted terms
  • Accurately handle bank, credit card, expenses, and petty cash reconciliations on time
  • Entering job related costs into our job costing system - mileage, expenses, forge usage, subsistence etc.
  • Assisting in project reviews and ensuring data is entered into the correct place, pulling information out of our job costing system for data analysis and MI.
