Job Description

My client (SOS Plumbing and Heating Ltd) is a small dedicated plumbing and heating business based in Putney and servicing South West London. They pride themselves on the quality of their work and keep extensive records of completed work to ensure their quality standards.They are now seeking an experienced Office administrator who has worked in small businesses to manage their office, schedule appointments and maintain their records.They are seeking someone who can:

  • Answer client phone calls and emails to book appointments and follow up on queries
  • Schedule the plumbers to their jobs making most effective use of their time
  • Manage the office ensuring all records are filed correctly and maintained accurately following company procedures
  • Propose improvements to the system and processes in an effective thought out way
  • Input invoices and receipts into the Xero accounting system
  • Input calls and records into the Service Mate CRM system and look towards further development of the system (there is training available).
  • To fulfil the requirements of the role as well as having a lot of common sense you will:
  • See getting things right as the priority
  • Enjoy liaising with customers and suppliers by phone and email
  • Enjoy planning and scheduling
  • Enjoy maintaining accurate schedules and records
  • Be able to think, plan and act on your own initiative
  • Enjoy working in a busy environment
  • Be able to prioritise critical issues to discuss with the MD
  • Make very few or no repeated errors
  • Cope well with pressure and be able to handle setbacks
  • Having a good previous knowledge of Xero is a distinct advantage
  • Previous experience of working with a CRM system is an advantage
