Job Description

JOB TITLEExecutive Assistant (or Personal Assistant) to the CEO and Leadership TeamJOB SUMMARYTo professionally assist the CEO and support the leadership team, as and when required, to ensure the smooth and efficient running of the Ryman Head Office.AS THE PA YOU WILL

  • Act as a Brand Ambassador for Ryman ensuring that visitors receive a warm welcome and the best possible guest experience.
  • Manage the reception team to ensure great coverage and their time and administrative skills are fully utilised.
  • Provide effective diary management support for the CEO
  • Book all travel and manage expenses for the CEO.
  • Support with the leadership teams travel arrangements and oversee their expenses, as and when required.
  • Book and oversee all the key meetings with the Senior leadership team ensuring effective collaboration and communication.
  • Prepare any formal communication and announcements on behalf of the CEO
  • Produce coherent minutes and ensure follow up actions are completed, when asked to attend critical/essential meetings.
  • Promptly manage and deal with the CEOs incoming and outgoing customer, client and supplier emails, expertly addressing any issues.
  • Compile and create weekly trade and monthly board reports, and other necessary presentation documents (including communications to the Board and other VIPs), liaising with key contributors ensuring the production of high quality, professional documents.
  • Organise and oversee supplier and leadership events.
WHAT YOU NEED TO DEMONSTRATE:
  • A very high level of accuracy and excellent literacy/numeracy.
  • Excellent written and oral communication.
  • A can do attitude and ready to get involved at all times.
  • Strong personal drive and initiative, always thinking ahead and making proactive decisions.
  • Great resilience and tenacity.
  • Proven experience of diary management, ideally for more than one executive.
  • Proven record of consistently delivering high quality work on time in a calm a professional manner.
  • Background of providing strong secretarial/PA or executive support in a fast-moving customer led business.
  • A flexible attitude to the different ad hoc tasks and last-minute changes that need to be dealt with in order to provide the best possible service to a wide range of stakeholders and clients.
  • Highly professional, presentable and personable.
