Job Description

Are you a highly organized and proactive individual with a passion for supporting dynamic leaders We’re looking for an exceptional Executive Assistant to provide comprehensive support to two of our Directors across Sales and Marketing. As Hillarys is partof the Hunter Douglas group of companies, a global market-leader for window furnishings, our Directors oversee Sales and Marketing operations in the UK, Australia, Denmark and Norway.As an Executive Assistant you’ll lead on administrative support, from overseeing team administration, managing travel arrangements and co-ordinating diaries, including international scheduling, so being organised is crucial for this role. You’ll be proactiveand driven to anticipate the needs of the directors and take initiative to prepare meetings, documentation, presentations, reports and more. Your assertiveness and ability to challenge when necessary will ensure that team members meet deadlines, fosteringa dynamic and collaborative culture.As Executive Assistant, here’s what you’ll be doing:

  • Admin management: Manage all admin requirements of the Directors – from booking team annual leave, HR requirements, induction plans and more
  • Manage travel plans: Arrange and co-ordinate travel plans, ensuring seamless and efficient arrangements
  • Diary co-ordination: Co-ordinate complex diaries and international schedules to ensure efficient planning between Directors, agencies and stakeholders
  • Preparation: Take initiative in preparing presentations, refining leadership reports, and organizing key meetings – including setup, lunches, refreshments, agendas, documentation and minutes
  • Team support: Contribute to the general running of the team, fostering an active and collaborative culture
  • Confidentiality: Handle sensitive information with discretion and maintain confidentiality in all matters.
Are you the ideal candidate Here’s what we’re looking for:
  • Previous experience in an Executive Assistant, Directors PA or Secretary role is essential
  • Proficient in all MS Office and Google Docs
  • Highly organised with the ability to manage multiple tasks and deadlines
  • Confident communicator
  • Assertiveness and comfortable challenging
  • Proactive mind-set, anticipating needs and taking initiative
  • Flexible and adaptable to change
This is a hybrid role, with 3-4 days based at our head office in Nottingham.
