Job Description

Do you have an eye for detail and have exceptional administration and multi-tasking skills that you are looking to transfer to the healthcare industry If yes, then join the team at Wellesley Hospital as a Deputy Admin Lead.Wellesley Hospital is a 95 bed Secure Mental Health Hospital, for both men and women above the age of 18. The role involves line management of the admin team, made up of team secretaries, ward administrators and CPA meeting coordinators.As a Deputy Admin Lead you will be interacting with various professionals within a multidisciplinary team, as well as contact with service users. The role will require you to have some management experience in order to complete supervisions, appraisals andfollow relevant policies with regards to absence management and performance management. You will be required to be extremely organised and efficient.Your responsibilities:

  • Line management of the office-based staff team (team secretaries, ward administrators and CPA coordinators)
  • Responsibility for organising and facilitating bi-monthly supervisions and yearly appraisals.
  • Co-ordinate the team’s workload, making adjustments and reallocating duties to other team members to ensure continuity of service.
  • To support the admin lead in the recruitment processes.
  • Representation of the administration team at monthly Operations Meeting and other meetings where advised.
  • To have an understanding of the hospital policies and procedures to ensure correct absence and performance management of the administration team.
  • Responsibility to provide adequate administration to 1 x ward within the hospital, this will include weekly printing and scanning of all required paperwork, minuting of community meetings and ward rounds and responding to ad hoc requests.
  • To provide cover in the absence of members of the team / have the ability to organise cover within the team.
  • Liaise with internal and external professionals.
  • Attendance / organisation / minuting of formal meetings.
  • Audio transcription as and when required.
  • Ensuring all paperwork is stored securely and maintained effectively in line with regulatory requirements.
  • Compliance with hospital policy regarding confidentiality and information relating to service users, staff and hospital business.
  • To support the admin lead in the ordering of stationary items through the hospital electronic system.
  • Other administrative duties as required.
To be successful in this role, youll need:
  • A minimum of 4 GCSEs or equivalent
  • Proficient in the use of Microsoft programs
  • Previous minute taking experience
  • Previous administration experience
  • Excellent communication skills
  • Excellent organisational skills
  • Previous management experience.
  • Good attention to detail
  • Awareness of data protection and confidentiality
