Job Description

Would you love to work for a well-known local brand with excellent reputation Do you have administrative / office skills that youd like to apply in a varied and interesting position Then read on to find out more about this rare opportunity!Job Title: Administrative AssistantHours of work: 30 hours Monday to Friday, 8.30am - 3pm.Location: Wellington, SomersetSalary: £22,000Benefits: 28 days holiday including Bank Holidays, discounts on company products, Pension Scheme (after 3 months service), prestigious, well known brand, friendly and welcoming team, picturesque working location, free car parking.The role: Your primary responsibility will be to manage orders for despatch by haulier, including orders for export. You will need to be an excellent administrator with patience and attention to detail.Key Responsibilities:

  • Answering incoming telephone calls.
  • Trade orders processing.
  • Receiving trade orders by email.
  • Liaising with production and sales about order processing and delivery.
  • Scheduling deliveries and collections.
  • Generating all relevant paperwork in Sage 200 (e.g. orders, despatch notes and invoices) and via EDI as required.
  • Managing delivery failures, breakages and other problems.
  • Being responsible for processing all export and duty-suspended documents via HMRC website.
  • Being cross-trained across colleagues work and providing cover for absences.
  • Administrating and matching all incoming invoices with orders and delivery notes and passing these over to relevant managers for authorisation.
  • Checking suppliers statements with purchase ledger and if any invoices or credits are missing, obtaining copies.
  • Dealing with suppliers queries, as necessary.
Experience / Skills / Knowledge:
  • A good understanding of Excel and some experience of invoicing and accounts.
  • Administration.
  • Highly accurate and efficient working manner.
  • Positive and enthusiastic attitude.
