Job Description

Department Purpose: To support the Royal Academy of Dances strategies across its global operations through developing and implementing a strategic approach to managing people, culture and organisational development.Job purpose: To provide a wide range of HR services, with particular focus in recruitment, selection, on-boarding and off-boarding, including freelance and casual contracting, the delivery of HR inductions and, coordination, organisationand administration of probationary and annual reviews, learning and development and employees engagement activities and events.

  1. 1. Recruitment & Appointment: Employee, Casual and Independent Contractors
  • Support recruiting managers with the organisation and uploading of job adverts onto recruitment websites as well as the RAD website.
  • Manage end-to-end recruitment campaigns
  • In liaison with the recruiting manager make conditional employment offers and issue offer letter.
  • Manage the notification of the outcome of application/interviews to be sent to unsuccessful applicants/candidates, responding to requests for feedback in writing.
  • Liaise with employment agencies and/or private temps with regard to temporary assignments when required.
  • Complete pre-employment checks, including taking up references, checking Right to Work and DBS checks as needed.
  • Liaise with the HR Operations Manager for the relevant employment contract and joining instructions to be issued once appointment is finalised.
  • Obtain references and collect documentation related to immigration status prior to new starters first day.
  • As necessary arrange for new starter to be registered with DDC Ltd for criminal records screening.
  • Set up new starter details onto SelectHR, ensuring new employees are given a user account and instructions on accessing the system.
  • Make necessary arrangements for new starter on-boarding, including IT access, Welcome email, Workstation assessment, Perkbox registration, Coffee Catch Up and various record keeping.
  • Inform Line Managers of probationary review meetings, advising on the procedure, and attend probationary review meetings, producing written notes if required.
  • Write to employee to confirm employment status, following receipt of notes provided by Line Manager.
  • Administer annual reviews.
  • Conduct Exit interviews and update Head of HR regarding the outcome of meeting.
  • HR Induction Programme
  • Organise, coordinate and deliver the HR Induction for new starters and ensure the presentation is reviewed and up-to-date with relevant information.
  • Ensure that Induction Checklist forms are received, recorded and filed.
Appointment and Contracting: Independent Contractors and Casual Worker
  • Create and send Statements of Engagement for independent contractors and casual workers for the assigned departments and activities. These may include Examinations activities (Attendants, CD Operators and Vocational Pianists), Dance School (Assistants andPianists), Learning and Participations (RADiate, Student activities and Summer School) Development & Fundraising (Fonteyn International Ballet Competition,) Benesh International and Step into Dance.
  • Ensure that all new independent contractors and casual worker details are recorded in SelectHR, and carry out immigration checks and DBS criminal record screening.
  • Escalate any concerns and or cases of criminal records shown on DBS disclosures to the Head of HR.
Learning and Development
  • Organise training courses
  • Liaise with the Head of HR and/or external training providers on course contents and costs (according to available budget) and make all necessary internal and external bookings (room, equipment set up and refreshments, etc.).
  • Record all necessary mandatory training in HR records and produce regular training reports using HR systems.
File Management / Archiving
  • Carry out annual paper file maintenance in the HR office, taking action accordingly.
  • Check the criminal record screening e-folder on a monthly basis and ensure that all documentation that is more than 6 months old is deleted and disposed of securely.
  • File recruitment campaigns and delete candidates applications and documents 6 months after recruitment campaigns have taken place.
  • General
  • Regularly check and act upon emails received to the HR inbox or redirect as appropriate.
  • Be a member of the DSE Assessor team and, after training, conduct DSE assessments, keeping relevant records, file DSE questionnaires and record actions taken.
  • Planning, researching and implementing assigned HR project.
  • When required update HR section of the RAD website to ensure content is relevant.
  • Ensure familiarity with employment policies and procedures and advise new and existing staff as appropriate.
  • Raise SelectHR support issues with software provider (Access) as and when required and keep HR colleagues informed of on-going issues.
