Job Description

Absolute is operating as a recruitment business for the supply of temporary opportunities.Our Public Sector client is recruiting a skilled Administrator to join them as soon as possible for approximately 6 months - likely longer.This is an exciting opportunity to offer much valued administrative and IT support to front facing social work teams. If you are looking for a fast paced role, where no day is the same, yet also have excellent attention to detail and an ability to flex withsituations that arise, this could be the job for you.Job details:

  • To provide a wide range of administrative dutie to the social work teams
  • Electronic diary management and rotaing social workers for "duty" in the office
  • Booking meetings, recording minutes and issuing as appropriate
  • Responsible for timely and professional managing of incoming and outgoing correspondence from the social work teams
  • Responsible for storing information correctly e.g file management of paper and electronic notes and records
  • Responsible for administrative tasks e.g. scanning, printing, room bookings, transport and hotel bookings, genograms etc.
  • General data base managment to include creating new files, closing down, updating and amending (change of address, school, etc)
  • Data base validation, reporting and updating databases
  • Responsible for maintaining supplies and stock control (e.g. Stationary)
  • Conduct timely "file audits" to ensure that files have appropriate documentation prior to transfer to the next team
  • Collating and sending documents to internal legal team accuratelay and within timespan
  • Petty cash and recording transactions in line with the process.
  • Recording and monitoting the distribution of the cash expenditure within the serivce.
  • Responsible for following all invoice processes and systems using relevant applications, ie supplier contracts and arranging POs as needed
  • Liaison with finance and suppliers to ensure smooth new user set ups and payment of invoices and emergency payments
  • Responsible for creating and maintaining all records including: Assessments and Reviews to ensure that they meet the statutory guidelines.
  • Minuting the monthly team meeting and adhoc meetings as required
  • Gather information and copy to respond to Data Protection Subject Access requests (DSARs)
  • Adhoc administrative tasks to meet service requirements as requested
Person Spec:
  • At least one years recent admin experience
  • Must be highly efficient and capable with a good customer service skills
  • Able to work calmly in a fast paced environment where no 2 days are the same
  • Excellent attention to detail
  • First class IT skills with MS packages
  • Must demonstrate proactivity and have a helpful demeanor
  • Would consider a graduate looking for a career in Social care
Benefits:
  • Hours: 9-5 Mon - Thurs and 4.30 finish on a Friday, half an hour lunch 37 hours per week
  • Flexi scheme available to encourage a better work life balance
  • Pay £10.50 per hour increasing to £10.83 after 12 weeks
  • Working in an admin team of 10, but working closely with the business support lead to provide admin support to a busy team of social workers
