Job Description

Futures Recruitment Services are in search of a motivated and meticulous deputy office manager. Reporting directly to the office manager our client is looking for a candidate that is process-driven, has excellent time management, and has very strong excelskills.This is an independent infrastructural development company; the successful applicant will deputise the Office Manager when required, supporting with the fortnightly payroll, assisting with PQQ Preparation, and assisting with the management of the administrationteam.This role is office-based due to the nature of the role and the business requirements.Key Tasks for the Deputy Office Manager role:

  • Arrange repairs, services, and inspections and maintain records for the company plant.
  • Arrange servicing and hire of welfare units.
  • Research and purchase small mechanical tools and maintain an equipment register.
  • Maintain calibration records and ensure all calibrations are current.
  • Code plant invoices and job sheets for approval.
  • Manage 6-monthly lifting inspections for the company plant.
  • Purchase stocks of plant-related site consumables.
  • Process insurance claims for plant/tools theft or damage.
  • Assist when required with the timely preparation and maintenance of the Job Diary.
  • Deputise for Purchasing Manager to include but not limited to placing material orders and scheduling transport.
Key Experience and Qualifications for the Deputy Office Manager:
  • Minimum of 3 years office administration experience
  • Ability to work on your own initiative, within a fast-paced environment that can be ever-changing environments.
  • Following and maintaining administration processes accurately.
  • Excellent with Excel, strong comprehension of VLookup, pivot tables, IF Statements, and Data Manipulation.
  • Experience of working in the construction sector would be an advantage.
