Job Description

If you enjoy a busy role where you will need to be proactive, organised and reactive this could be the ideal position for you. Supporting the Project Managers, you will need to be confident in your ability to drive the various projects forward by overseeing all administrative duties for the Project Manager and team.Duties will include:

  • To log every project into the relevant systems once an order has been received.
  • Carry out tasks assigned to you within the project management software by the due date and ensure that all other team members are also on track with their tasks.
  • Track the actual gross profit of each project by recording actual costs against predicted and ensure we hit or exceed the gross profit target.
  • Draw up payment schedules for each project, communicate them and chase payments in accordingly through the project to ensure each project is cashflow positive.
  • Ensure a handover meeting is held with sales for each project and the expected archive date of the project is set.
  • Load all purchase orders onto Salesforce for each project and track them through the system to ensure all items are delivered in time to meet the schedule.
  • Oversee the Health & Safety paperwork for each project and work closely with the project manager(s) on this.
  • Hold daily update meetings / calls with project manager(s) to ensure all projects are on track, all variations are logged and agreed, and all snags are completed speedily.
  • Liaise with clients as required on schedules, payments, snags, project reviews etc.
  • Send emails on behalf of project manager(s) as required and liaise with suppliers.
  • Complete Operations & Maintenance manuals on completion of each project and log all the equipment with serial numbers on to the CRM system.
  • Keep Dropbox folder for each project up-to-date and save all project related files here.
  • Book engineers and contractors onto the calendar system for each project and keep up-to-date with any changes.
  • Prepare site Job Reports and associated paperwork for engineer site visits.
  • Book and hold weekly Operations Meetings and record notes / chase actions.
  • Due to the location of the office you will need to have your own transport as the position is in a village outside of Royston. Onsite parking is provided. Hours are 8.30am to 5.00pm and lunch is provided by the company.Salary - £27K plus company benefitsWe aim to get back to all applications.
