Job Description

Working hours: Monday-Friday 9-5pm£25,000 per annumHybrid working- 2 days from home/3 days in London Bridge officeAn exciting opportunity has arisen within the operations management team of a well established construction company who are currently looking for a junior project support assistant to join their team on a permanent basis. Please note than a minimum of one yearswork experience in a similar role is required.The RoleAs the Project Support Assistant, you will coordinate support within the Operations team, including general administration, communications, collaboration, data collection and analysis.In this role, you will also be expected to help document and maintain internal records, updating them wherever necessary.Key ResponsibilitiesThe tasks you will be responsible for include (but not limited to):Act as first point of contact for operations/project related queries and ensure smooth running of operations/projects activitiesAct as configuration librarian of data sheetsProduce and process Operations and Maintenance Manuals:- Draft issues- Create/keep up to date a timetable/schedule to anticipate the workload and upcoming key dates- Final issuesCoordinate project information between internal teams and external stakeholdersSupport existing and develop improved document/project management systems and processesUpload technical submittals, Health & Safety documentation and other documents i.e. onto clients systems including (but not limited to) Aconex, 4P, Asite, Kahua, Business Collaborator, Conject, Zutec, ApexIssue and record comments returned/Statusd items to the project team for action and uploading once revisedDevelop and maintain an accessible central repository for risk & issue logs, and lessons learntWork with the team to collect data, forecast and assist with compilation of reportsUpdate plans supporting the Operations functionDevelop and maintain project filesEstablish and administer document control procedures, and when necessary attend meetings producing first draft of minutes and action logsContribute in the use of specialist tools and techniques such as planning and control, tools, risk analysisMaintain and update project documentation as delegated by the Operations ManagerChasing action owners for updates on their actionsFormat documentation for client issueFilling, archiving and enacted version control on all meeting documentationCollate and produce multiple project status updates including flagging issues that may impact the overall delivery of the programme, handling sensitive material appropriately where necessary. Improving the process and reducing duplication where possible.Create reference documentation used to manage the project, and support preparation of project documentation (including finance cases and procurement documentation)Measures of successEmbedding and maintenance of assigned processes and documentsDeveloped and maintained project documents and associated reporting in placeAcknowledged ownership of processes outlined and prompt issue/request resolution in placeTeamworkWork collaboratively with the Operations and Project Teams as well as relevant departments to ensure accurate and consistent approach to project supportPromote company and service excellenceAssist and support other members of the Operations Team with any other duties where requiredContribute towards building and maintaining a positive workplace for all staffThe above list of key responsibilities is not exhaustive and the postholder will be required to undertake such as tasks as may reasonably be expected within the scope and grading of this post.ONLY SHORT LISTED APPLICANTS WILL BE CONTACTED
