Job Description

Lloyd Recruitment Services are pleased to be working with a leading organisation based in Goudhurst. There is currently a requirement for a Product & Operations Executive to join the team on a full time permanent basis.

  • This is a multifaceted role, which will be responsible for liaising with suppliers to research, produce & secure allocations for group itineraries plus identifying potential itineraries
  • In addition the role is responsible for handling enquiries from the Australian office suggesting suitable hotels & services, preparing quotations and making bookings, ensuring a seamless experience for the customers
  • To ensure the smooth operation of bookings
  • Responsibilities:
  • Liaising daily with the Australian office to prepare individual & group quotes and itineraries as requested
  • Liaise with suppliers to check availability, hold options and ultimately book and confirm all arrangements as well as offering suitable itinerary suggestions as well as alternatives in terms of hotels, services and logistics
  • Book & manage all group allocations held with suppliers including hotels, sightseeing operators, rental companies, campsites, ferry companies etc
  • Ensure that all reservations are added accurately into the reservations system
  • Ensure all hotels and services are reconfirmed as necessary prior to client?s arrival
  • Ensuring final details are collected and passed on to the hotels and other suppliers, in way of issuing vouchers, to ensure seamless service during tour
  • Timely cancellation of unrequired services before deadline to avoid any cancellation charges
  • Monitoring sales & updating block allocations as necessary
  • Regular liaison & communication with the Business Manager in Australia to gain understanding of support they require and how to develop and enhance the product offering Proactive product development enabling new and unique proposals and concepts to be offered
  • Establish & maintain strong working relationships with suppliers, negotiating competitive rates, access to product and suitable allocations for the business
  • Negotiate competitive rates with suppliers where contracts are not held for ad hoc items or particular pieces of business as necessary
  • Conduct regular reviews of the product and contracts, with the Business Man in Australia, to ensure the product portfolio and rates are attractive and competitive
  • Prepare tour documents for guests and notes/instructions for tour guides
  • Be a key point of contact for all customers whilst they are in resort and assist with or amend client travel arrangements as required
  • Dealing with, and resolving where possible, any issues and customer complaints in resort or investigating complaints on behalf of the Australian office if requested
  • Liaise with suppliers and representatives as required, to ensure the holidays operate smoothly, establishing good relationships & cooperative communications with them
  • Liaising with the European Tours team to manage the identification & allocation of group tour leaders and being their key point of contact before, during and after the group tours
  • Supporting and assisting the European Tours team with their workload during busy periods/annual leave and identifying and gaining their support for the inbound product during busy periods/annual leave
  • Reconcile supplier invoices
  • Provide valuable feedback & input regarding existing product and how this may be improved, developed or expanded
  • Provide after-hours emergency customer support as needed
  • Experience:
  • Strong people skills - friendly and a team player
  • Excellent telephone manner and customer service skills with experience of customer care / complaint handling and resolution
  • Excellent verbal and written communication skills plus excellent numeric ability
  • Fluency in additional European language(s) are desirable
  • Passion for travel and for working in the travel industry
  • Highly organised with excellent attention to detail and high levels of accuracy
  • Ability to deal with a range of tasks with conflicting priorities
  • Flexible attitude to working in a dynamic environment and the ability to work under pressure and to deadlines, adapting to new systems and procedures as required
  • Able to work autonomously and show initiative
  • Good destination knowledge of the UK & Europe
  • Additionally the successful candidate will have to demonstrate the following:
  • A self-starter, able to organise themselves, work on own initiative and prioritise their workload
  • Able to spend time away from home, approximately 5 times per year, up to 1 week maximum at any one time
  • Able to work or travel at weekends on occasions as required
  • Previous experience of and confident driving in Europe
  • Location:The role will be based in Goudhurst so own transport is vital.
