Job Description

Reed in Colchester are delighted to be supporting our local client seeking a highly organised and proactive Facilities Scheduler to join their team. The successful candidate will be pivotal in maintaining the smooth operation of our portfolio of office buildings.This role requires a detail-oriented individual who can efficiently manage and schedule planned maintenance visits with contractors, as well as organise rapid response to reactive maintenance issues.Main duties included;

  • Scheduling and coordinating planned maintenance visits with contractors, ensuring minimal disruption to office operations
  • Promptly organising contractors for reactive maintenance issues, maintaining a high standard of building functionality and safety
  • Obtaining and comparing a minimum of three quotes from different contractors for any planned works, to ensure cost-effective and quality services
  • Maintaining accurate records of maintenance schedules, contractor details, and work carried out
  • Communicating effectively with internal teams and external contractors to coordinate maintenance activities
  • Proactively identifying potential maintenance issues and planning appropriate responses.
Ideal Skills and Qualifications include;
  • Proven experience in a similar role, preferably within a facilities management or office administration environment
  • Exceptional organisational and time management skills, with an ability to prioritise tasks efficiently
  • Strong communication skills, both written and verbal, to effectively liaise with various stakeholders
  • Proficiency in office software, including spreadsheet and database management
  • Ability to work under pressure and manage multiple tasks simultaneously
  • A proactive approach to problem-solving and a keen eye for detail.
