Job Description

An extremely prestigious private equity firm is looking for an immediate start team PA on a temporary basis (approximately 3 months) while they recruit on a permanent basis.DUTIES:For COO, Head of Operations, CIO & CTO:

  • Acting as gatekeeper to queries, and monitoring of various inboxes
  • Diary management -organising internal and external meetings, lunches and dinners
  • General administrative tasks
  • Completion of expense forms on a monthly basis
  • Organising agenda’s and minute taking for various Committees and team meetings
  • Assistant to COOResponsibilities include:
  • Collation of key data from various teams
  • Development of key metric’s to support COO’s oversight and risk management
  • Responsible for Intranet content
  • Tracking of open actions, supporting the COO ensuring issues are actioned as required
  • For Head of Operations only:
  • Updating templates and producing monthly and quarterly Management Information documents in Word, PowerPoint and Excel
  • Assist in coordinating board meetings and liaise internally and externally to collate board papers and documents for Fund boards
  • CASS tasks which include:
  • o Tracking / updating client money acknowledgement letterso Populating monthly CMARo Keeping CASS information updated to populate into a pack for quarterly CASS Committee meetingso Keeping the CASS Resolution Pack & CASS Policy up to dateo Ensuring that the Service Provider Matrix is up-to-date and following up with Ops Managers
  • Manage various Operations tasks to ensure that deadlines are adhered to, which provides efficiencies across the department
  • Update and maintain policies and procedures
  • Manage and maintain filing system, including archiving
  • Personal administration
  • Updating of CPD logs
  • General:
  • Assist the Operations Managers on an ad-hoc basis
  • Arrange back office training for new starters
  • Updating company organisational charts, and uploading these to the intranet using SharePoint
