Job Description

The London Fire Brigade are searching for a dedicated and organised Business Support Officer to join the Inclusion Team on an interim 3-month basis. The Business Support Officer will play a pivotal role in supporting the Team by efficiently supporting theworkload across all areas, handling administrative tasks related to Inclusion and Diversity initiatives, managing relevant emails, and offering innovative administrative solution where possible.Key Responsibilities:Calendar Management: Efficiently manage the Inclusion calendar. Schedule meetings, appointments, and events, ensuring optimal time management. Coordinate and communicate schedule changes and updates to all relevant parties.Email Inbox Management: Monitor and manage relevant email inboxes, ensuring prompt responses to inquiries and requests. Organise and categorise incoming emails for efficient follow-up and action. Collaborate with team members to ensure timelyand appropriate responses to emails.Administrative Support: Provide administrative support across all areas of work, such as Equality Impact Assessment, Employee Support Groups, Equality Diversity Inclusion assessments, interviews, EDI training, events, policies, research,processes & procedures and more.Meeting Coordination: Coordinate and schedule departmental meetings, including preparing agendas and meeting materials. Arrange meeting logistics, such as booking rooms and setting up audiovisual equipment. Take note, produce summaries anddistribute them to Teams and relevant attendees.Communication: Assist in internal and external communication related to Inclusion and Diversity initiatives. Draft and proofread emails, memos, and other written communications as needed. Ensure clear and effective communication within thedepartment.Skills and Qualifications:

  • Relevant Bachelors degree required.
  • Proven experience in administrative roles, preferably in the public sector.
  • Good understanding of Microsoft Teams and collaborative working spaces.
  • Proficiency in calendar management and scheduling software.
  • Strong organisational and time-management skills.
  • Excellent written and verbal communication skills.
  • Attention to detail and accuracy in document preparation and data entry.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, One Drive, Shared Drive).
  • Ability to handle sensitive and confidential information
  • Strong interpersonal skills and the ability to work collaboratively with a diverse team.
  • Ability to multitask and prioritise tasks effectively in a fast-paced environment.
