Job Description

Office / Project Coordinator £26,000 - £28,000Are you looking an experienced office administrator who is looking for their next challenge We are exclusively working with this Global client who need a professional coordinator to come and support the team of 5. This role is a hybrid role, however dueto the complexity of the business it is envisaged that initially you will be required in the office in order to truly understand the job, team and business.If you love being the "glue" to a department, this could be a perfect fit for you. A varied and responsible role for someone who likes to be accountable but also to be the "go to" person!Key duties will be:

  • To liaise with customers with regards to technical orders (you will learn the jargon associated with this dept, but you do not need to be technically minded to do this role)
  • Responsible for raising sales invoices and dealing with all expenses for the dept and any engineers associated with the team
  • Solely responsible for organising all accommodation, international flights and travel insurance for the dept
  • Act as PA to anyone travelling from this dept ensuring they know where they are going, any visas have been organised and any other travel requirements or medical (vaccinations) etc have been sought
  • You will also act as the main person for all communication with the Engineers and any Project Managers when they are out of the country (this may have some out of hours work associated with it in case of emergencies - rare but occasional)
  • Completing Health and Safety questionnaires to ensure site visits can be undertaken
  • Upkeep and maintain the engineers schedules
  • Allocate appropriate resources for each project to ensure Engineers can do their jobs when on site
  • Order and issue workwear for Engineers and other team members
  • Ensure all engineers training records are up to date
  • Ensure all HR paperwork is kept up to date
  • Assist with process improvements
  • General administration duties for the team
Experience in the following areas is desirable:
  • Previous office / commercial administration / co-ordination experience - which clearly demonstrates you can organise your workload
  • Customer centric attitude and a positive upbeat approach to work
  • Ability to work under pressure and provide solutions to issues
  • A team player, who understands the importance of working with a team and how the role of coordinator is to ensure that everything gets coordinated and is organised for their colleagues!
  • A really good eye for detail
