Job Description

The RoleWe are seeking an experienced Office Coordinator with proven communication skills, a collaborative nature and a positive can do’ approach to help run and establish our newly relocated office in Stoke on Trent. Reporting to our Group Facilities Manager who is based in London, you will be the go-to person ensuring the smooth running of daily office duties for our office in Stoke.This is a rewarding and fast-paced job which would suit an organised and efficient individual who has previous experience managing and coordinating administration duties and office procedures. This role has the ability to create a big impact on our team and we need someone confident to independently run and establish all aspects of our brand-new office space.Key Responsibilities

  • Main point of contact for all office related queries.
  • Manage all administrative services including mail distribution, shipping and receiving, supply inventory, and front-line office support.
  • Develop and maintain strong relationships with vendors and landlord including contract agreement, price negotiations, SLA agreement and quality control of service delivered.
  • Maintain the condition of the office and arrange for necessary services and maintenance including managing overall standards.
  • Responsible for purchasing and maintaining adequately stocked kitchens and office supplies, restock paper and printer consumables, and general upkeep of office equipment
  • Be our internal voice for all internal communications and social events.
  • Establishing and maintaining policies and procedures.
  • Ensuring the office remains complaint with all Health and Safety legislation, managing emergency procedures (such as fire alarm drills) and organising emergency teams such as fire marshals and first aiders, creating and updating risk assessments and advising employees on how to minimise or ultimately avoid risks and hazards in the workplace.
  • Organising and coordinating staff travel requirements.
  • Responsibility for all employee purchases on corporate credit card and petty cash expenses in accordance with purchasing policy.
  • Maintaining security, welcoming guests, issuing access cards
  • Coordinate on-boarding with HR and arranging relevant office inductions for new starters.
  • Key Skills/Experience
  • Prior administrative/operations office experience.
  • Proven organisational and logistical skills.
  • Interpersonal skills with the ability to communicate effectively and confidently at all levels both verbally and written.
  • Creative thinker, quickly pinpointing problems and finding creative solutions.
  • Ability to work effectively under pressure and to manage own workload to meet deadlines.
  • Preferably First Aid and Fire Warden Trained.
  • Good knowledge of MS Office Suite.
