Job Description

As an experienced Facilities Compliance Administrator, you will be joining our Facilities team, working individually and alongside the various facilities team members and departments.You will need to demonstrate a good understanding of compliance and its importance in our organisation.You will assist the Technical Compliance Manager in ensuring the training & competence matrix is current and organise training if required, as well as supporting with the use of the CAFM systems for data analysis to collate statutory maintenance reports.You will also be required to co-ordinate with the facilities engineering services and other departments to ensure compliance is monitored and maintained.Preferred Skills, Qualifications and Experience:

  • Demonstrable experience of monitoring and implementing compliance PPM tasks
  • Strong IT skills and experience of working with CAFM systems
  • Compliance administration experience is essential
  • Excellent communication skills, both verbal and written is essential
  • Ability to manage own workload and prioritize admin tasks in order of importance is essential
  • Experience in asset management and SFG20 industry standards would be preferable
  • Experience of commercial awareness dealing with suppliers and contractual terms would be preferable
  • IOSH managing safety would be preferable
Main Responsibilities:
  • Gather information from the Facilities Engineering team leaders to update the technical risk register
  • Updating and maintaining compliance safe systems of work, trackers & databases
  • Working with the Facilities Engineering team to ensure continuing departmental compliance
  • Monitoring the PPM planner to ensure contractors are attending as per contractual obligations
  • Reviewing the skills matrix to ensure engineer training and competence is current and up to date
  • Assisting in the creation, implementation and review of risk assessments & safe systems of work
  • Collating statutory maintenance reports for senior management using information from the CAFM system
  • Creating CAFM jobs for remedial actions from audit reports and chase until completion
  • Taking notes in meetings, updating minutes and sending out updates to relevant staff
  • Liaising with insurance inspectors and other external contractors to arrange attendance
  • Scheduling meetings with relevant departments regarding engineering services compliance
  • Keeping up to date with relevant legislation and brief out to relevant departments
