Job Description

Personal Assistant / Site AdministratorLocation: Stirling, FK7 7QQ.Salary: Competitive.Contract: Full time, permanent.Superglass is a manufacturer of mineral glass wool thermal and acoustic insulation. We currently have an opportunity for a Personal Assistant / Site Administrator to join our site based in the heart of Stirling on a part-time basis.This is a varied role supporting the CEO and leadership team across site, focusing on all types of administration duties. It also includes liaising with colleagues across all departments as well as the wider business, including liaising with and supportingthose at a senior level.Personal Assistant / Site Administrator - Accountabilities

  • Provide day-to-day ad-hoc administrative support to the CEO and Leadership Team as required while maintaining confidentiality and privacy and always putting safety and well-being first.
  • Welcoming all visitors to site including employees from other parts of the business, which may include senior executives as well as candidates for interview and new employees issuing appropriate PPE as required.
  • Assist with diary management
  • Responsible for incoming and outgoing post
  • Preparing documents as required using Microsoft Office suite, especially PowerPoint presentations
  • Support marketing activities
  • Support HR activities
  • Organising transport, accommodation, venues for conferences, training and other events
  • Arranging meetings, booking rooms and arranging refreshments and lunch for attendees
  • Organise visits to site for individual visitors or groups which may include visitors from overseas, including senior executives
  • Financial processes such as raising purchase orders as required
  • Provide administrative support to a variety of stakeholders across site
  • Order office stationery and other goods
  • Any other ad-hoc duties

  • Ability to work to deadlines;
  • Ability to utilize a range of IT applications, including MS office, MS Teams;
  • Problem solving skills;
  • Excellent communications skills, both verbal and written;
  • Attention to detail;
  • Maintain high levels of accuracy;
  • Discretion and confidentiality.
