Job Description

CHP are an award winning, people focused organisation based in Chelmsford, Essex, and we are hiring. We have been providing more homes for people unable to rent or buy privately since March 2002 and we aim to build a home a day - 365 new homes per year.We are looking for a Supply Chain Coordinator to join us on a Fixed Term Contract (maternity cover) until October 2021, to work with the Supply Chain team to co-ordinate the transition of materials and equipment in and out of the warehouse, including stock delivery, transfers, returns and issue.There couldnt be a more exciting time to join CHP as we are currently experiencing three times the growth of the industry average.   • Purchases and issues materials, tools and PPE in accordance with standing orders and financial regulations as directed by the Supply Chain Manager.
  • AccountabilitiesAdmin:
  • Be the main point of contact with suppliers, Service Centre, DLO Trades teams and Trades Team Supervisors, answering queries and maintaining presence on the Zeacom telephony system;
  • Process and record purchase order requests on CHP systems and dispatch orders to suppliers to enable just in time delivery of materials and equipment;
  • Liaise with DLO Trades teams, Trades Team Supervisors and Service Centre to arrange and record stock counts, identifying items surplus to requirements which will inform future purchasing decisions;
  • Monitor planned work appointments in conjunction with the Service Centre and Trades Team Supervisors and take ownership of any actions to ensure requested materials are complete, correct and available for the appropriate appointment
  • Co-ordinate the activity of the Supply Chain Drivers/Labourers in delivering materials and clearing waste from site with the use of Outlook and DRS scheduling system;
  • Organise fleet servicing, maintenance and repairs to minimise vehicle downtime;
  • Co-ordinate fleet allocation, recording and reporting vehicle condition and van stock levels/equipment;
  • Liaise with Trades Team Supervisors and DLO Trades teams to co-ordinate the purchase, issue and recording of uniform, PPE, plant, tools and equipment for the DLO;
  • Prepare and process invoices, both paper and electronically, within deadlines and in accordance with CHP procedures and standing orders, ensuring coding information is correct;
  • Ensure invoices match spend commitment by liaising with staff and suppliers.
  • Warehouse:
  • Ensure that all warehouse deliveries, including van stock replenishment, are complete, correct and appropriately stored and labelled;
  • Record materials and van stock delivered to and issued from warehouse in the relevant information systems;
  • Liaise with Trades Team Supervisors to arrange transfer of material costs for cancelled/completed jobs;
  • Undertake all stock takes in conjunction with Supply Chain Manager, Trades Team Supervisors and DLO Trade teams;
  • Monitor stock held to ensure appropriate levels of emergency call-out and contingency items are maintained;
  • Ensure the health and safety of the Supply Chain team as well as that of associated teams, suppliers and other visitors to the supply chain area, in line with CHPs Health and Safety policy and statutory requirements;
  • PERSON SPECIFICATIONEssentialQualifications
  • Good standard of secondary education resulting in a high level of literacy, numeracy and ICT proficiency.
  • Experience, knowledge and skills
  • Experience of office procedures and practices;
  • Experience of Microsoft Office applications (Word, Excel and Outlook); to an advanced level;
  • Experience of analysing and inputting data onto stores computer system(s);
  • Ability to interpret, analyse and manage prices and purchasing information;
  • Good communication skills;
  • Able to carry out manual handling tasks on a daily basis. This will include lifting items with the aid of a trolley or other mechanical device and also lifting items unaided within HSE guidelines;
  • Able to prioritise tasks in a busy work environment amongst competing considerations;
  • Flexible approach and attitude to workload.
