Job Description

A Receptionist is required to provide pro-active support to the HR function in all HR related administration and company procedures including facilities work. Working closely together with the HR Advisor and BP to ensure a high-quality HR service is deliveredto the business. Also responsible for general reception duties.Duties• Greet all visitors in an efficient and polite manner and sign in accordingly whilst adhering to our covid-19 protocols.• Organise incoming and outgoing post and parcels; arrange couriers where necessary. Sort and issue mail.• Maintain noticeboards - update on regular basis.• Support Accounts department including raising POs, creating Vendor requests and processing invoices.• Face to face or telephone staff queries and contact with all levels of staff.• Liaise with caterers & machine vendors, co-ordinating supply and re-stocking.• Monthly locker inspections.• Provide administration support for all HR processes, including recruitment, training, transfers and leavers to ensure the smooth running of the HR department.• Create and maintain HR records, both computerised and manual so that accurate information is kept. Includes staff files, staff leaver files and training records.• Manage the reporting of all sickness-absence in line with company policy. • Manage the control and recording of Holiday requests.• Produce and record Maternity, Paternity & Parental leave communication.• Update and maintain personnel database as necessary.• Arrange weekly OHA appointments.Required knowledge, skills or experience• Previous administration experience within a busy environment• A desire to work in a fast-paced HR Department• Ability to build effective relationships with line managers and employees in all levels of the business.• Excellent IT skills, particularly Microsoft Excel, Word and email.• Ability to demonstrate a professional, confident and can do’ attitude.• Excellent organisation and time management skills.• Excellent communication skills (verbal and written).• Meticulous record keeping and attention to detailAdditional InformationLocation: SeahamHours of work: Monday - Friday 9am-5pmRates of pay: £10.45 per hourThis vacancy is being advertised on behalf of Gem Partnership Ltd who are trading as a recruitment business.
