MB505: Scheduling AdministratorLocation: Roxton, BedfordshireSalary: £22,000 - £28,000 DOEWorking Hours: Monday – Friday 8.30am – 5pmAdditional Company Benefits: Exceptional Career Development Opportunities, Heavily Discounted Gym Membership, Enhanced Pension ContributionsOverview:First Military Recruitment are currently seeking a Scheduling Administrator on behalf of one of our fantastic clients based in Bedfordshire.The Scheduling Administrator for Service and Maintenance is responsible for providing administrative support to the Scheduling Team Leader and Senior Scheduling Coordinator in coordinating and managing the scheduling of service and maintenance activities acrossthe business. This role requires strong organisational and communication skills to ensure smooth operations and timely completion of tasks. The Scheduling Administrator will work closely with the Scheduling Team Leader, Senior Scheduling Coordinator, and Engineeringand Delivery Team to ensure efficient allocation of resources and customer satisfaction.Duties and Responsibilities:

  • Assist the Scheduling Team Leader and Senior Scheduling Coordinator in maintaining and updating the scheduling system for service and maintenance activities, ensuring accurate and timely information.
  • Coordinate with the service and maintenance team to gather necessary information for scheduling, such as availability, skill sets, and equipment requirements.
  • Assist in assigning tasks and scheduling work based on priority and customer requirements under the guidance of the Scheduling Team Leader and Senior Scheduling Coordinator.
  • Maintain and update records of service and maintenance activities, including work orders, service reports, and customer feedback.
  • Assist in coordinating with the procurement department to ensure the availability of necessary parts and equipment for service and maintenance tasks.
  • Support the Scheduling Team Leader and Senior Scheduling Coordinator in liaising with customers to schedule service and maintenance appointments, ensuring minimal disruption to their operations.
  • Provide administrative support to the service and maintenance team, including organising and maintaining documentation, preparing reports, and handling correspondence.
  • Assist in monitoring and tracking the progress of service and maintenance activities, ensuring adherence to schedules, and resolving any issues or delays.
  • Collaborate with other departments, such as sales and engineering, to ensure effective communication and coordination of service and maintenance activities.
  • Manage the lead-in vehicle fleet to ensure maximum utilisation.
Skills and Qualifications:
  • GCSE 4 in English and Maths and administrative or technical certifications are desirable.
  • Proven experience in an administrative role, preferably in a scheduling or coordination capacity.
  • Strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines.
  • Excellent verbal and written communication skills, with the ability to interact with customers and internal stakeholders.
  • Proficient in using scheduling software and other relevant tools to manage service and maintenance activities.
  • Knowledge of suction excavators and related products is desirable.
  • Attention to detail and a commitment to delivering high-quality work.
  • Ability to work in a fast-paced environment and adapt to changing priorities.
  • Strong computer skills, including proficiency in Microsoft 365 products.
  • Ability to work collaboratively in a team environment.
