Job Description

P.A / Executive Assistant £30,000.00 - £40,000.00(Depending on experience)Monday to Friday 8:00 am to 4:30 pm with 30 mins for hour lunch(Some flexibility with start and finish times will be considered)Our client is a successful and very well-established business based in the North Leeds area (30 minutes drive from the centre Leeds and Harrogate). You will be based in a large, modern building with amazing views of the river Wharfe. Your role will be workingacross several of the owners businesses which include classic car restoration, property and land development, business and residential property leasing/rental and sales.The main purpose of this position is to provide PA and Facilities Administration support to the Director. This is a stand-alone role, suited to someone who has previous experience of being a PA at executive level and whom relishes and thrives on responsibility,accuracy and working to strict deadlines.Your duties will be varied and you will enjoy working on multiple projects, juggling tasks and working within a company who deals with prestige clientele; therefore, you must be confident, extremely well-presented and know how to conduct yourself in a professionalmanner, with the required etiquette (and a sense of humour!)Duties and Responsibilities:

  • Acting as first point of contact for tenants and acting on requests in a timely manner
  • Gathering quotations for maintenance works across various sites
  • Maintaining efficient administration systems, looking to improve and develop where necessary
  • Receiving and processing complex information in an efficient way
  • Passing on required key-information and action points to relevant parties, internally and externally
  • Ensuring that everything behind the scenes is running smoothly and on-time by chasing up suppliers and being on the tail of all parties involved in a sale or a project
  • Producing invoices and ordering materials
  • Attending project meetings and documenting key details assigned to each responsible party for specific allocated tasks
  • Preparing agendas and relevant documentation for meetings
  • Liaising with project staff and developers on project issues
  • Liaising with customers to provide updates on project progress
  • Liaising with couriers and transportation companies for UK and Overseas delivery of vehicles
  • Reviewing and checking data from customers or suppliers to ensure the project has all the correct info to run smoothly - with no margin for error
To fulfil the role, you will:
  • Possess good computer skills, with experience using Word, Excel and Outlook
  • Be diligent, and capable of effective written and verbal communication
  • Have a natural focus on detail and accuracy
  • Be able to work from your own initiative and be a strong character whom can take ownership of their work
  • Have previous PA experience at board level
  • Be educated to a good standard
  • Be adaptable to change and have a flexible approach
  • Like dogs (the owner has a rather cute and sassy chap that occupies the building as head of security and he will expect the odd pat of the head throughout the day!
