Job Description

POST HELD: School Business ManagerSALARY SCALE: Negotiable depending on qualifications & experienceOverall purpose of the jobTo provide a general clerical support and to operate school financial systems including the budget monitoring and preparation of budget information for Headteacher and governors, taking responsibility for personnel and pupil related procedures.Staff for Whom Responsible: Admin/Finance Assistant.To Whom Responsible: HeadteacherThe Headteacher and Governors are seeking to appoint a School Business Manager to begin as soon as possible in the new term in September. The ideal candidate will preferably have experience working in a school office, will be proactive, resilient, and ableto adapt to challenges as they arise.Working alongside the Headteacher, the School Business Manager is responsible for the management of Finance, Administration, HR, Facilities, and MIS in the school. You will promote the highest standards of business ethics and ensure the effective use ofresources.Principal responsibilities Manage the financial operations of the school; ensuring that necessary financial data is available to the Head Teacher and Governors, including preparation and formulation of a school budget in accordance with LMS Regulations, preparing statements andfinancial records for annual audit, etc. Act as Systems Manager for the administration computer network that operates the Schools Information Management System (SIMS) and Local Resources Management. In co-operation with the Headteacher ensure the implementation of regulations to comply with legislation concerning the employment of staff. (Day to day administration of personnel procedures) Manage the production of statistical data relating to the school; in order to submit reports and returns to Council, Ofsted, DfES, etc as required Manage the School Office; and ensure efficient administrative and support systems are in place for the effective operation of the school. Manage clerical staff directly to ensure effective deployment for the benefit of the school. Liaise with caretaking staff for maintenance, cleaning, refurbishment, health and safety, and security, site issues Provide administrative support to Governors meetings and school parents association`. Identify fundraising opportunities (sponsorships, external grants, match funding), and administer in order to generate income for the school. Maintain personnel records and deal with school based personnel administration, including appointment and termination administration and the provision of basic advice e.g. sickness, leave entitlements etc. and completion of necessary documentation to ensurethat staff are correctly contracted, paid and advised of personnel matters. Maintain pupil records and school databases (STAR, SIMS etc.), to ensure accurate information is available and devise and produce reports from the system including admission and transfer procedures and associated statistical analysis to facilitate managementdecision making and to meet statutory and LEA requirements. Research and produce statistical data from computerised and manual records to enable LA and DCSF requests for information to be completed accurately and to agreed timescales. Provide general clerical support for the school including photocopying, filing, collation of information, distribution of mail etc. to ensure the efficient and timely provision of information. Monitor and review school budget headings and advise the Headteacher and Governing Body on the budgetary position to ensure over and under spending areas are identified to enable corrective action to be taken. Input and maintain all financial information including raising orders and processing invoices to ensure accurate information is available and financial regulations are followed and up-to-date records are maintained. Administer the financial activities financed from the school fund account. Maintain appropriate accounts and reconcile bank statements to ensure that funds are controlled in accordance with financial regulations. Develop and maintain administrative and clerical systems relating to financial and budgetary record and service contracts to ensure the provision of effective administrative services. Prepare reports on financial matters for the Governing Body and attend meetings to give advice to facilitate the decision making process. Deal with telephone and face to face enquiries to ensure that all calls/visitors are handled efficiently and effectively and good relations fostered. Maintain and update manual school files, including staff and pupil records to ensure that accurate information is stored securely and available for use by appropriate persons. Process and compile documentation for the development of individual pupil reports. Receive goods and other items (including pupils personal possessions) and ensure they get to the correct destination. Liaise with contractors/suppliers concerning the ordering of goods and supply of services to the school and monitor the service provided to ensure the optimum use of resources. Undertake general administrative tasks including: prepare and print information and booklets for parents; admissions; database listings; regular Newsletters to parents; documents relating to School Development Plan and Curriculum Policies. To support in the updating analysis of childrens assessments. Oversee Educational Visits co-ordination.
