Job Description

Job Title: Warranty Administrator (Trainee)Reports to: Warranty SupervisorDirect Reports: NoneLocation: Elland - HalifaxPurpose of the role:To develop towards competence in the Warrany Administrator role in the following areas:

  • Duties will include identification of issues, liaison, and interaction with internal personnel (Controllers, Engineers etc) and the external factory, analysis of issues, full processing and management of the internal and intercompany warranty processes.
  • This will include administration with both the company and its suppliers where required.
  • The above to happen both during the base warranty period of the vehicle and throughout any vehicles operational life within the business.
Areas of Warranty Administrator focus will therefore be:
  • To understand and proactively highlight and control warranty and re charge processes appropriately through processing of claims and identification of problem areas or parts.
  • To prioritise work effectively ensuring all documentation and information is accurate to ensure minimal claim time and maximum claim submission.
  • To ensure all information is correctly entered into the internal software systems accurately and speedily for effective processing of claims
  • To ensure all claims are managed and processed with an absolute 60 day maximum timeframe.
Responsibilities for Warranty Administrator
  • Full understanding ,management, control and reporting of Company Warranty processes and procedures.
  • Manage and interact with external businesses, customers, and suppliers as necessary.
  • Establish and maintain a high level of customer satisfaction / service at all times.
  • Support the Service, Contract and Rental teams as necessary for any Warranty functionality
  • "Cradle to Grave" management of the Rental and Contract assets, with particular emphasis on the recharge of warranty costs and highlighting of problem parts or areas during the whole of the vehicle operational life cycle within the company.
  • Provide consistent and effective weekly feedback to the Head of Rental and Service Supervisor with regard to warranty claims, identification of, number outstanding, their status and age.
  • To administer, maintain and develop current warranty processes and procedures.
  • To maintain warranty work in progress (WIP) level, age, and recharge in line with expectation levels of the business.
  • Develop own competence to meet and exceed over time the requirements of the job
  • To work with all departments, particularly with projects that are being explored or implemented.
  • Undertake any other duties consistent with the purpose of this job or to support the needs of the business.

Critical Knowledge Required for Warranty Administrator role:
  • Good knowledge of other Microsoft Office - Outlook, Word, Excel, and PowerPoint.
Qualifications and Experience required:
  • Maths and English GCSE (Grade C or above) or equivalent
  • Administration experience.
