Job Description

ReceptionistJob Purpose Receptionist to act as an ambassador of the firm to be the first point of contact for all visitors and callers, ensuring that they are left with a lasting positive impression of Keoghs. The tasks required may be split between Switchboard operators, dealingwith high volumes of calls, general reception and back of house. All divisions of the role require an equal focus in order to maintain Keoghs high standards and professional business image.Key Accountabilities

  • Receiving and welcoming visitors to Keoghs, ensuring that their point of contact is notified immediately upon their arrival.
  • Ensuring that they always act in line with the GDPR, SRA Code of Conduct for Solicitors, RELs and RFLs, ISO/Firm wide policies and procedures.
  • Achieving objectives and telephony SLAs
  • Attending to visitors while they are waiting, and offering them refreshments.
  • Dealing with all incoming calls within the agreed KPIs, and transferring all calls promptly and to the correct person.
  • General housekeeping of the Reception area and meeting rooms, providing a clean and tidy environment.
  • Ensuring the reception area always has appropriate reading material, and that coffee machines for visitors are always well stocked for refreshments.
  • Loading of dishwasher, and ensuring that the kitchen is clean and tidy.
  • Ordering business lunches as requested, and delivering/setting up the same in the correct meeting rooms.
  • Security awareness - observing and reporting to the relevant people any suspicious or unusual behaviour.
Working Hours 30 hours per working week Monday to FridayEssential Skills and Attributes:
  • Experienced Receptionist.
  • Experience of using a busy switchboard.
  • Competent IT user.
  • Must be able to demonstrate basic standards in numeracy and literacy.
  • Excellent communication skills both written and verbal.
  • Excellent organisation skills.
  • Well Presented.
  • Ability to work under their own initiative.
