Job Description

CIC - Legal AssistantWorking in our Complex Injury department, the Legal Assistant role is to support the Complex Injury file handling teams complete a variety of matter related, non-chargeable tasks on large loss, complex and catastrophic injury files. You will develop relationshipswith the file handling teams in order to best understand the needs of our clients to ensure we deliver excellent service. You will be required to work on your own initiative and with your team including prioritising your workload and dealing with urgent requeststhat are time specific.The role would particularly suit someone who has experience of working in a support role in a personal injury or other legal setting and gives new recruits the opportunity to learn about the work undertaken in a complex injury claims environment and gainpractical knowledge and skills associated with that area of the law.You would work as part of the wider complex injury team and whilst your team leader would be based in Newcastle there is a team member based in our Bolton office already with whom you would work alongside.Responsibilities:Please note: this is an entry-level role and full training on the below tasks will be givenYou will work as part of a team of Legal Assistants, supporting file handling teams by the efficient completion of file-related non-chargeable activities.The role will include:

  • Prioritising tasks, liaising with the file handling teams where necessary in order to manage deadlines effectively.
  • Building relationships with the file handling teams in order to deliver the most effective support in a complex area of the business.
  • Management and manipulation of digital documents, schedules and involvements in our case management system.
  • Carefully identifying and uploading documents to document sharing sites such as Collaborate and granting appropriate permissions to ensure that only the correct versions of documents are uploaded and the documents are distributed only as required in thecase.
  • Manipulation of digital documents in other programs such as Foxit and Bundledocs including the creation or management of large bundles.
  • Downloading digital files sent by clients or bundles of evidence, disclosure etc. and separating them into Tracker as individual, labelled documents.
  • Acting as post reviewer, identifying and flagging high risk items in line with internal procedures.
  • Digital post handling, distribution and filing.
  • Handling, filing and, where appropriate, distributing digital media uploaded by the central admin team in Bolton.
  • Conducting crucial checks at the conclusion of each case
  • Fielding telephone calls and dealing with general queries received from parties involved in the claims including the insureds, insurers, experts and witnesses.
  • Arranging payments where required.
  • Liaising with the central admin team in Bolton to ensure admin tasks are completed as required e.g. discs or other digital media are uploaded and provided to experts in a format they can view.
  • Liaising with the finance team in respect of invoices and client money.
Recruitment Criteria:
  • Minimum education standard of 5 GCSEs grades 5 or above or A-C
  • Prior experience working in an administrative capacity
  • Good communication skills with people at all levels of the business
  • An ability to use own initiative
  • Calm under pressure with the ability to organise and prioritise effectively to meet competing deadlines
  • An ability to maintain attention to detail when dealing with repetitive tasks
  • Good literacy and IT skills
  • Good team worker with the flexibility to do what is required to get a result and ensure client service levels are met
