Job Description

We are currently recruiting for a great varied role based near Long Stratton for a Dispatch Coordinator. This role will be a mix of collating samples and updating spreadsheets and responding to customer requirements along with administration.The Sample Dispatch Coordinator will be a pivotal role within the business. The position will be key in presenting the company in a professional way by demonstration of the timely dispatch, arrival and follow up, of product samples which reflect the 1st class products the company supply.• Working in both Frozen (between -18° to -22°) and Chilled (between 3° to 5°) environments.• Accurately process sample requests in accordance with the customer’s requirements.• Pro-actively follow up safe receipt of samples to the customer by telephone, then communicating with the commercial / culinary team to allow further follow-up.• To manage the stock holding of all samples within our storage facility ensuring an agreed minimum stock level.• Accurately maintain sample request data, currently from Easiware, for monthly and year to date comparison reviews, by number of samples dispatched, product type, and customer.• When required either liaising with our colleagues overseas to receive stock replenishment or with our UK cold store to receive bulk deliveries and repack into sample portions.• Liaise with our suppliers of dry ice, packaging; labelling etc. to manage efficient stock holding to meet on-going sample demands. Ensure a supply trigger system is set up and utilised to avoid any supplies shortages.• Liaise with our dispatch courier to ensure sample collection so they will deliver within the customer’s time frame.• Maintain the sample facility, both office and containers, in a well organised and clean manner.• Report to the business any observations relating to the containers and/or office either positive or negative so that appropriate action may be taken.• Maintain the freezers in a well organised and clean mannerIf you have previous experience working in a warehouse and customer dispatch business would be a benefit but not essential.You will have an understanding of general office practices, ability to use Microsoft office, excel and internal company IT systems SAP, Easiware, Arkania (training will be provided).
