Job Description

The role is perfect for someone who is a natural and confident leader who can manage their own workload and be able to ensure excellentworkflow within the team of eight Administrators. Based in Linlithgow, salary up to £32,500 depending on experience. The core hours are Monday - Friday 8.30 - 5pm with a 40-minute lunch break. The role will be hybrid initially with a view to returning to theoffice full time when Covid restrictions lift, therefore you must be open to this.Role OverviewYou will lead the Team of Administrators as the company continues to grow and will be the first point of contact for daily administration team support. You will assist and support the team in ensuring that operational and financial SLAs are always met. Youwill ensure that both external and internal clients experience is productive, pleasant, and rewarding. You will ensure the service and systems admin functions are fully integrated with other departments within the business to ensure seamless transaction ofrequests and information from one area to another. Acting as an ambassador to position the companys reputation as a leading and respected employer.Duties include:

  • Oversees all aspects of the customer service experience to troubleshoot processes and procedures and make improvements of customer service quality
  • Provide training on handling of sensitive customer service issues
  • Monitors and reviews processes for ways to make procedures more time and cost-effective
  • Makes regular reports to upper management about department milestones and progress
  • Hold regular meetings with department staff to discuss expectations and hear team concerns Responsible for department recruitment and retention
  • Ensure work environment is compliant with all applicable laws and regulations
  • Ensure staff are trained on management systems and support when necessary
  • Be committed to the principles and practices of continuous development and to undertake additional training to meet individual and organisational needs
  • Adhere to Key Performance Indicators (KPIs) and objectives as defined by the Integrated Management Systems
  • Adhere to polices and process as defined within the Integrated Management Systems - with a view to continually improve our internal systems
  • Monitoring of management reports across all departments and all regional areas
  • Engage with junior team members in their day-to-day tasks offering support and training where required to achieve relevant KPIs
  • Oversee the maintenance of Management Statistics
  • Oversee engineer dispatch to calls/jobs in the most efficient and timely manner.
  • Oversee effective planning of preventative maintenance
  • Cover team members duties or undertake any other tasks and responsibilities as required and appropriate to the level of this post
  • To follow Health & Safety procedures set out by the company to ensure the safety of you, your colleagues, and others. Also, adhere to the Company Health and Safety policy
  • Adhere to company rules and ensure compliance in line with ISO Accreditations
Skills and Experience required:
  • Have previous experience at a Supervisory/Team Leader/Management level in an office environment
  • A strong background in Administration
  • A background in security and protection is desirable
  • Excellent communication, customer and team building skills
  • Ability to adapt and manage changing priorities
  • Excellent Microsoft 365 knowledge and ability to adapt to new systems
  • Confident and resilient character
