Job Description

The RoleNige Wright are delighted to be supporting an educational organisation with their search for a Executive Support Officer to work full time hours during the school terms (plus 10 days). The role will be based onsite everyday at their office in Redcar. We arelooking for a highly motivated, experienced, and flexible Executive Support Officer who will provide high quality and comprehensive secretarial and administrative support to the Executive Team.Duties include:

  • To provide confidential and accurate administration support to the Executive Team
  • To support the Executive Team and Trust Board on matters of statutory compliance including the accurate recording of auditable evidence
  • To manage the review cycle of policies, ensuring timely consultation with appropriate bodies and publication to the relevant sites.
  • Working closely with governance support on legislative, compliance, and procedural matters where appropriate.
  • Liaise with external agencies to ensure Trust and school operations are coordinated including the pupil attendance service, HR provider, IT, and data services, safeguarding consultant, estates management.
  • Manage the recruitment process for appointments across the board/governors.
  • Maintain a Register of Business interests across the organisation, ensuring it is reviewed on an annual basis in line with policies.
  • Organise, attend and complete minute taking of Executive meetings and other senior leader meetings as necessary.
  • Responsibility for drafting agendas, collating papers, and coordinating equipment as well as undertaking any administrative follow up.
  • Manage diaries and prioritise commitments using own initiative and judgement to ensure time is used effectively and efficiently.
  • Co-ordinate meetings for highly sensitive issues relating to Senior Managers and staff i.e., disciplinary, grievances, bullying, harassment issues.
  • Prepare draft responses to internal and external correspondence as necessary using own initiative and knowledge of the subject on behalf of the Executive Team.
  • Co-ordinate/arrange meetings/seminars/courses as required
  • Booking travel and accommodation
  • Overseeing the compilation of staff annual leave and sickness records etc.
  • Complete sickness absence returns and enter onto MI System and liaise with managers.8
  • Maintenance of Senior Manager personal/HR files as well as maintaining filing systems, ensuring documents are correctly classified and filed for ease of reference and retrieval.
  • Open incoming post and place for attention ensuring deadline and action dates are met.
The PersonSkills/Attributes:
  • In-depth knowledge of Microsoft Office, including Word, Excel, PowerPoint as well as, e-mail / internet and use of MS Teams conference facilities
  • Be able to prepare and format appropriately PowerPoint presentations/management reports for internal and external seminars and workshops.
  • Level 3 in business admin or equivalent
  • Minute taking
  • Good time management skills
  • Excellent communication skills
  • Prior experience of working within a similar role
  • High level of confidentially skills
