Job Description

Due to expansion, JRS are recruiting for an Office Manager to come and join their manufacturing client in Hook.The main purpose of this role is to ensure the smooth running of an office on a day-to-day basis and to be the main point of contact for all office related enquiries. The job is very varied and requires the appointed person to organised, keen to handle multiple tasks and flexible in their approach to work.Duties to include (but not limited to):

  • Manage the general office administration including answering of the phones and stationery requirements
  • Negotiate and manage prices of printers and cartridges • Organise office lunches and catering for meetings as and when required
  • Manage office supplies via the booker system
  • Support the management team by managing any refurbishments, renovations and office moves to make sure they all run smoothly and according to plan
  • Be responsible for the general upkeep and maintenance of offices and premises to ensure that they meet health and safety standards and legal requirements
  • Work alongside the H&S manager to ensure all induction training (fire, general safety, manual handling) takes place
  • Manage all Fire Safety matters including, safety compliance, weekly fire tests, fire drills, fire risk assessments and appropriate services of equipment
  • Manage external suppliers and appropriate contracts including, cleaning, waste disposal, business rates, utilities contracts, security, general maintenance and WEEE compliance and certification
  • Support the travelling staff by booking travel and accommodation and managing any visa requirements
  • You may be required to assist the ISO Quality lead to ensure that all procedures and reports are adhered too and necessary changes made and documented
  • You may be required to support the finance manager with any adhoc financial administrative tasks including some invoice entry
  • You may be required to support the HR Manager with any adhoc HR and recruitment administration
  • Required Skills
  • Excellent written and verbal communication skills
  • Good keyboard skills and proficient in the use of Microsoft office
  • Must have the ability to multitask proficiently and work well under pressure
  • Must be conscientious and well organised with the ability to adapt to change
  • High attention to detail and ability to achieve high levels of accuracy
  • Capable of working with minimum supervision
  • Previous experience as an Office Manager is essential
  • Experience of working autonomously is preferred but not essential
