Job Description

Balfour Beatty has an exciting opportunity for a DOCUMENT CONTROLLER (9 MONTH FIXED TERM) to join our Housing business unit to work in Motherwell.Role Purpose:To work closely, supporting all departments with producing, controlling, storing and retaining all relevant data regards BBH and the wider Group. Provide excellent internal communication & customer service, within your operating region, incorporating BBH brand ethos and values.Provide a secure, efficient and responsive internal customer-centric service culture to all internal customers/departmentsProvide the connection between the disciplines, ensuring a seamless and coordinated approach to data control from securing land & bid management through to Customer satisfaction & development adoption.As a DOCUMENT CONTROLLER (12 MONTH FIXED TERM), you will have the following accountabilities:

  • Document management & control - including drawings, programs, schedules, photo library
  • Maintain workflow management & document control processes & databases
  • Coordination, collaboration & version control for department & project documentation
  • Manage document naming conventions, workflows and control the structure of data storage
  • Generate document numbers/references & maintain accurate document registers/database
  • Ensure good house keeping of all data across the region
  • Filing, updating & coordination of documents & drawings to enable easy access for all relevant stakeholders & for auditing purposes
  • Follow implemented processes and procedures to ensure documentation is stored & communicated in line with business strategy and all relevant legislation
  • Ensure & maintain accuracy of Business Continuity, whos/who records for the region
  • Maintain register of users & access rights within region
  • Ensure file structures are useable and transparent to relevant departments
  • Ensure all documentation utilised is standardised, relevant and adhered to
  • Ensure all information is stored, retained and shared as & when required, consistently adhering to all regulations including GDPR, throughout the region
  • Perform a range of tasks to ensure company productivity & efficiency
  • Dealing with multiple pieces of work, ensuring quality, attention to detail & deadlines are achieved
  • Ensuring all relevant documentation is displayed in offices, sites and sales areas
  • Provide admin support to departments as & and when required
  • Control desk booking system & allocation
  • Ensure all hardcopy files are stored effectively & efficiently
  • Ensure regular communication with teams to understand short & medium term deadlines & programmes of work
  • Assist all departments in supporting & maintaining company systems
  • You will have the following qualities and experience:
  • General administration & project support experience
  • Excellent verbal communication skills
  • Good IT skills including Outlook, Word, Excel, Powerpoint
  • Self-motivated and well organised with ability to operate efficiently with minimal supervision
