Job Description

Job Title: Clerk to the Board of GovernorsLocation: Haywards Heath, West SussexSalary: Competitive, depending on experienceJob type: Permanent, Part Time (40 weeks per year)Closing Date: 2nd December 2020Interview Date: Thursday 22nd October 2020The School is a delightful independent standalone prep school for boys and girls aged 2½ to 13 set in 260 acres of beautiful Sussex countryside. The tremendous grounds include a Forest School and a School Farm. The school has a proud record of feeding many of the top day and boarding schools in the South East, with a large proportion of leaving students achieving scholarships and awards.Main Purpose of role:Reporting to the Chair of Governors, the main responsibility of this role is to provide support to the Governing Body of this thriving school. Other tasks and responsibilities include providing procedural and regulatory guidance, preparing and circulating agendas, taking minutes, handling correspondence as well as dealing with sensitive and confidential issues.It is envisaged that working hours will be on a flexible basis of up to 180 hours per year, with the majority of meetings being in the evening. Attendance will be required at four Full Governing Body and various Sub-Committee Meetings held throughout the year.Key Responsibilities:

  • Ensuring that the agenda and accompanying reports are prepared and circulated for Board meetings at least seven days beforehand
  • Ensuring that the minutes of Board meetings are prepared, agreed with the Chair and circulated as soon as possible after the meeting
  • Ensuring that the decisions of the Board are acted upon
  • Attend Board meetings and those sub-committees and working groups meetings that are appropriate to take the minutes
  • Coordinating the booking of rooms and refreshments if required for all governors meetings
  • Keeping governors aware of appropriate training courses and seminars provided by various bodies. Make the necessary arrangements for governors who wish to attend such courses or seminars. Keep a record of the training courses and seminars attended
  • Maintaining a register of the financial interests of governors that are disclosed to the Board at its meetings
  • Notification of the Board meetings, the Annual General Meeting and any Extraordinary General Meetings, in accordance with the Articles of Association
  • Advise the governors on procedural matters
  • Advise governors and appointing bodies of expiry of the term of office before term expires so elections or appointments can be organised in a timely manner
  • Keep up to date with current educational developments and legislation affecting school governance
  • The ideal candidate will have/ be:
  • Excellent level of literacy and numeracy
  • Sound experience in minuting meetings and/or note taking
  • Knowledge and experience of writing agendas and accurate concise minutes
  • Excellent IT skills
  • Clear communicator and manage information effectively
  • Confident speaking skills, especially in front of groups and able to articulate well in clear English
