Job Description

Our client is based in Hastings and due to their continual growth, we are delighted to be recruiting for an estates and facilities supervisor to join their team. This role is temporarily cover but could go permanent for the right candidate.Main Duties:

  • To ensure safe and effective day to day supervision of buildings, grounds, vehicles, and equipment in line with the annual estates and facilities workplan and strategic objectives.
  • Provide effective and supportive people management to Maintenance Team and Gardener using good management practices, including compliance with HR policies.
  • Oversee the day-to-day management of the maintenance-issues reporting system, delegating tasks across all sites to the team, checking on progress and completion.
  • Develop the maintenance-issues reporting system.
  • Organise and implement work schedules for all buildings, in line with annual workplan, allocating work to the team and liaising with contractors to optimise timeframes and minimise disruption to building users.
  • Support the Estates and Facilities Manager to develop the annual workplan.
  • Establish good working relationships with contractors and vendors.
  • Ensure processes are in place to respond safely and promptly to maintenance, vehicle, and equipment matters, raised by users of premises, following adverse events, or as identified by risk assessments.
  • Manage the day-to-day operation of planned preventative maintenance (PPM) schedules for plant, equipment, and buildings to ensure compliance with relevant legislation including Fire, Water, Asbestos, Gas, Electricity, LOLER.
  • Assist the Estates and Facilities Manager in the ongoing development and review of the PPM schedules.
  • Carry out maintenance, repair, and upgrades in line with own field of expertise and supervise others to do the same, ensuring compliance with relevant safety, building and fire regulations.
  • Identify additional skills required (self and team) and propose training plan to optimise in-house maintenance and servicing.
  • Be a point of contact for on-site contractors to ensure compliance with Contractors/Permit to Work policy and associated documentation.
  • Contribute to regular inspections of buildings and make recommendations for refurbishments and upgrades with consideration to the most effective use of resources and skills sets (including contracting in skills/expertise).
  • Coordinate equipment for office moves and room repurposing, as approved by the Chief Executive.
  • Assist the Estates and Facilities Manager with day to day running of vehicles, including vehicle checks, fuel card usage, maintenance, and documentation.
  • Assist the Estates and Facilities Manager with day to day running of car parking and traffic management.
  • Manage the use of marquees, including bookings, safe systems of work (including construction phase plans), erection, dismantling and storage.
  • Through liaison with appropriate the Estates and Facilities Manager and Head of Business Support, ensure sufficient supplies and resources are available and traceable for the Maintenance Team and Gardener, including tools, PPE/uniform, consumables, chemicals,and substances.
  • Input into budget setting and procurement process for applicable items.
  • Maintain appropriate logs, documentation and risk assessments for activities undertaken by team, and monitor compliance with safe systems of work including correct use of PPE.
  • Complete regular utilities meter readings for water, gas, and electricity.
  • Ensure due consideration is given to safe management and disposal of asbestos in the premises, as part of routine inspections or following adverse events.
  • Oversee a program of portable appliance testing for all premises, including liaising with patients regarding use of own electrical devices, ensuring suitable and sufficient checks are undertaken and documented.
  • Support the Estates and Facilities Manager with the day-to-day management of the medical devices register including liaising with contractors and suppliers responsible for procurement, service and maintenance.
  • Support the Estates and Facilities Manager with routine security audits and ensure suitable processes are in place for appropriate end of day security checks.
  • Ensure suitable working at heights equipment is available and safe to use, assess and provide training on correct use as required as part of annual statutory and mandatory training plan.
  • Support Estates and Facilities Manager to ensure estates and facilities policies and standard operating procedures are up to date, implemented and audited, and develop new policies as necessary.
  • Act as investigator for allocated adverse events or complaints, ensuring findings and recommendations are documented and acted upon.
  • Contribute to the creation and review of allocated risk assessments, ensuring suitable control measures are in place and evidenced.
  • Contribute to the planning for, and emergency response to, inclement weather and other business continuity issues.
  • Maintain appropriate documentary evidence for statutory compliance (e.g. CQC and H&S).
  • Deputise for the Estates and Facilities Manager when required particularly in relation to maintenance aspects of their work.
  • Participate in on call rota for Maintenance Team.
Qualification’s Skills and Experience
  • Must have supervisory experience.
  • Need a standard DBS check.
Working Hours:
  • Monday to Friday
  • 8am - 4.30pm or 8.30am - 4.30pm
