Job Description

Enigma People Solutions is recruiting a new Office Manager for a small but growing high tech company based at Ratho, Edinburgh. We are looking for an experienced Office Manager to join our clients team on a permanent basis. As the Office Manager you will be working for a specialist Laser Design and Manufacturing company. You will be responsible for a range of duties including office management and logistic administration.The work is Monday to Friday - 44 hours per week based at the office at Ratho Station, just outside of Edinburgh serviced by great bus links and with ample parking on site.Office Manager responsibilities:

  • Daily Office Administration
  • Handling world-wide logistics administration, including exports/improts, shipping documentation and couriers / deliveries arrangements
  • Managing business suppliers and contracts i.e. cleaners, security, insurances, etc.
  • Manage and review Health & Safety and Environmental and Sustainability records and files, ensuring compliance and acting as key contact for audits
  • Set up and management electronic document files on SharePoint
  • Stock take and order of office and operational supplies
  • Set up and management of necessary paper files for purposes
  • Implementation and development of office policies and processes
  • Ensuring the office is kept tidy and equipped
  • Phone answering and visitor and courier greetings/admissions
  • Occasional travel and hotel accommodation booking
  • Direct and coordinate efficient administrative support of the office
  • Providing high quality support to the senior managers
  • Analyse internal processes and implement changes to improve office operations and ensure compliance
  • Providing high quality support to executive staff
  • Some ad-hoc duties i.e updating the leave Calendar, updating entry logs, Christmas party night out, etc.
  • Educational prerequisite:Educated to a minimum of HND level with 3+ years of experience in business administration, related fields, or other relevant previous experience.Skills and experiences required:
  • Efficient office manager, PA and administrator
  • Have a positive and approachable manner
  • Possess excellent organisational skills
  • Highly proficient with excellent Microsoft office skills Word, Excel, Outlook (Emails and Calendar)
  • Good command of English - both written/verbal
  • Excellent communication written/verbal
