Overall Purpose: Manage and keep an Aconex Document Management system up to date. Liaise with external consultants, contractors and client’s document controllers to co-ordinate and control the flow of documents from their systems . Ensuring documents are accessible to all internal/external stakeholders at all times.Specific Duties:• Maintaining and managing document system• Support and assist the Document Control Team and Project Teams with projects and tasks.• Liaise with external consultants and client’s document controllers to co-ordinate and control the flow of documents from their systems into our system.• Provide Document System user training to new starters as and when required.• Check document/drawings issued follow document protocols as agreed with the client on specific projects.• Manage and keep a Document Management Plan up to date and if necessary update plans to suit specific projects.• Provide administrative document control support such as filing, uploading and downloading, printing, managing queries, copying and scanning, etc.• Manage drawing files based on the procedures of each individual project.• Help with the upkeep of the document management system and manage the system ensuring that the users are working within agreed guidelines.• Manage any paper copy drawings or documents kept on the central racking or in A3 folders.• Manage any hard copy drawings as requested by the client ensuing that the hard copies match the electronic submissions as and when required.• Organise and archive information of completed projects.• Assist project team in general administration duties as needed.• Co-ordinating project documentations.• Monitoring and evaluating systems and looking for process improvements.• Assisting with compliance monitoring.• Assisting with presentations on PowerPoint and other Microsoft Packages.• Ensuring documents are accessible to all internal/ external stakeholders.• Manage and design workflows to suit specific projects.• Must be self-motivated with a focus to achieve project deadlines.• Liaising with IHG staff, contractors and clients• Preparing reports• Managing databases and internal documentation systems• Managing online and paper filing systems• Implementing and maintaining procedures/office administrative systems• Managing software subscriptions• Coordinating with IT department on all office equipment.• Devising and maintaining office systems including data management.• Operate and maintain a shared filing system including hard copies. Person Specification:• Qualified to Diploma level or Aconex Certificate.• Previous experience working in a document control role within the construction industry is necessary.• Extensive experience in Document Control Software Aconex, MS Office and other IT systems.• Strong interpersonal skills.• Excellent communication skills.• Good attention to detail and highly resourceful.• Able to work fast under pressure.• Demonstrable enthusiasm, accuracy, confidence and pride in their work.• Flexibility/team worker - a willingness to use their own initiative.• Be enquiring, self-motivated and have a willingness to develop and learn.
