Job Description

Lettings AdministratorLocation: Canary WharfHours: Monday - Friday 9-5:30pmSalary: £24,000PA + 10% KPI (OTE £26,400PA)Type: 3 days in the office, 2 days from homeHoliday: 25 days + birthdays off + bank holidaysBenefits: Health care, home-working, extra holiday with length of service, company social events and excellent progression opportunities!The primary responsibility of the role is to provide administrative expertise and support for the Lettings Department and the Lettings Progressors. The Property Administrator will ensure the smooth running of the day-to-day tasks relating to progressingeach application upon offer agreed until the handover.The successful candidate will be highly motivated, hardworking and a strong team player who thrives in challenging roles and works well under pressure. Excellent interpersonal skills, communication skills and problem solving techniques are required. Occasionallyflexible working hours will be required.Key Responsibilities:

  • Assisting and supporting the Lettings Progressors with any administration work required in line with progressing a new tenancy.
  • Ensure all supporting documents for Landlords are received and uploaded to the database before a property is able to go to on the market
  • Correctly add all updated Terms and Conditions for landlords onto the database and inform all relevant departments.
  • All new property instructions to be uploaded to the database and ensuring all supporting documents are present including EPCs and EICRs, and also checking if a property requires a Landlord License.
  • Loading of databases with relevant documentation and ensuring integrity of data
  • Utilizing the administration reports which are generated from P2Gold
  • Tenancy deposit registration/renewal deposit registration/un-protection
  • Liaising with other departments to ensure that the property is ready for the new tenancy Arranging property cleanings, inventories and to action special requirements agreed on the offer
  • Preparing welcome packs and sending welcome emails to tenants at the beginning of a tenancy
  • Raising work orders and approving invoices on the system
  • Ensuring property compliance regarding EPC, EICR, HMOs and all other licensing requirements
  • Assisting the Lettings Progressors with the processing of change of tenancies and ownerships on the system
  • Thorough understanding and communication with Spark Energy and other utility providers and contacting them when necessary to inform them of new tenancies.
  • Understanding of building, content, rent insurance and eviction cover and uploading policies to the database
  • Ensure that all tenants with expired visas are contacted and new Right to Rent checks are carried out in time and the database updated.
  • Handling the calls, taking and passing the messages
  • Assisting with customers, clients and suppliers enquiries in the office
  • Providing adequate handovers to the team and covering for any absences
  • Taking the necessary training and tests to build knowledge of the industry and the Company
  • Completing of all other business administration duties and projects as assigned
Skills Required:PREVIOUS LETTINGS ADMINISTRATION EXPERIENCE WOULD BE IDEAL, ALTHOUGH NOT ESSENTIAL! Happy to train a strong administrator who is keen to get into lettings industry! Must be bright, confident, strong, highly organised and must be able to work under pressure

  • Ability to communicate effectively at all levels via telephone, letter, email and in person
  • Exceptional organizational, time management and prioritising skills
  • Ability to work under pressure, multi-tasks to meet strict deadlines
  • Outstanding attention to details
  • Being able to work on own initiative
  • Excellent skills in Microsoft Office package and general office skills
  • Knowledge of property and/or law would be essential to a minimum NFoPP standard (must be undertaken within first 6 months of employment)
  • GDPR and Anti Money Laundering Training (must be undertaken at the start of employment)
