Job Description

Job Title: ReceptionistReports to (Role): Executive Assistant21,390 per annumContracted Hours: 37 hours per week / 8am-4pmMain Purpose of the Job:Meeting and greeting visitors/guests.Various administrative duties.Main Duties, Key Tasks:

  • Greet and welcome visitors/guests as soon as they arrive with a positive, professional and helpful attitude.
  • Maintain security by following safety procedures and controlling access via the reception desk - ie. Visitors’ Register, fire evacuation procedures, etc.
  • Direct visitors/guests to the appropriate person and office.
  • Keep track of the people arriving for appointments and when they leave the building.
  • Answer, screen and forward incoming telephone calls in a timely and professional manner.
  • Receive, sort and distribute daily mail/deliveries.
  • Arrange ad hoc meetings and maintain electronic Meeting Room calendars.
  • Prepare meeting rooms and clear-up afterwards, ensuring rooms are ready for next meeting.
  • Order catering.
  • Co-ordination of company travel arrangements.
  • Arrange visitor car parking.
  • Perform other clerical receptionist duties, such as filing and photocopying.
Key Skills/Objectives:
  • Proven work experience as a Receptionist, Front Office Representative or similar role.
  • Proficient in Microsoft Office applications, including Word, Excel and Outlook.
  • Solid written and verbal communication skills.
  • Telephone skills.
  • Experience of office equipment - ie. printers and photocopiers.
  • Filing.
  • Excellent organisational skills.
  • Multitasking and time-management skills, with the ability to prioritise tasks.
