Job Description

We are seeking to hire an Assessment Secretary to join our dedicated and amiable Administration team. The chosen candidate will work closely with the schools Examinations and Assessment Officer, primarily focusing on tasks such as inputting statisticaldata, creating and managing assessment reports, and analysing data.The ideal applicant should possess exceptional organizational and interpersonal skills, as well as prior experience in a fast-paced work environment. Proficiency in IT skills, particularly in Excel, is expected, along with a keen eye for accuracy and attentionto detail. This role presents an opportunity to contribute to our schools assessment processes and support the smooth running of examinations and assessments. As an Assessment Secretary, your primary responsibility will be to assist with the coordinationand management of assessments, examinations, and related data using the SIMS (School Information Management System) software. This is a vital role that requires a high level of accuracy, attention to detail, and proficiency in SIMS.Key Responsibilities:

  • Utilize SIMS to input and maintain student assessment data, ensuring its accuracy and completeness.
  • Collaborate with teachers, exam officers, and other staff to gather and organize assessment information, including marks, grades, and attendance records.
  • Generate and distribute assessment reports, progress reports, and other relevant documents to staff, students, and parents/guardians.
  • Assist in the analysis and interpretation of assessment data, providing summaries and reports as required.
  • Support the Examinations and Assessment Officer in coordinating the scheduling, logistics, and administration of exams and assessments.
  • Liaise with external examination boards, ensuring compliance with their guidelines and requirements.
  • Provide administrative support for special educational needs assessments, ensuring the appropriate documentation is maintained and accessible.
  • Maintain confidentiality and handle sensitive data in accordance with data protection regulations.
  • Stay updated on relevant education policies, assessment procedures, and changes to SIMS functionality.
  • Undertake any other administrative tasks related to assessments and examinations as assigned.
Requirements:
  • Proven experience working as an Assessment Secretary or in a similar administrative role within a school setting.
  • Proficiency in using SIMS (School Information Management System) is essential.
  • Excellent organizational and time management skills, with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • High attention to detail and accuracy in data entry, analysis, and reporting.
  • Strong interpersonal and communication skills to effectively collaborate with staff, students, parents/guardians, and external stakeholders.
  • Knowledge of examination and assessment processes, including familiarity with relevant regulations and guidelines.
  • Commitment to maintaining confidentiality and handling sensitive information with discretion.
  • Proficiency in MS Office suite, particularly Excel, to create and manipulate data reports.
  • A proactive and flexible approach, demonstrating adaptability in response to changing needs and priorities.
