Job Description

Our client has an opportunity for a Patient Administrator to join their team of staff in the Imaging department. This is a full-time role for 37.5 hours a week. The role holder will be required to cover a flexible shift pattern.To contribute to the smooth running of the patient administrative process throughout the patient journey. Ensure the CHG best practice process maps are followed, to provide an efficient, professional and standard service to all patients, visitors, consultantsand staff. All patient queries are dealt with efficiently and professionally.First point of contact for all persons attending the hospital, including patients, staff, visitors, Consultants, contractors. Key Duties and Responsibilities
  • First point of contact for all persons attending the hospital, including patients, staff, visitors, Consultants, contractors
  • Day to day management of the referrals from the Referral Management Centre, including triage and adherence to the 18 week Referral to Treatment within set timescales and management of SPOT contract patients
  • Timely resolution to clinic change requests disseminating information to relevant colleagues and consultants
  • Ensure that all revenue is captured accurately.
  • To be competent in the use of the switchboard, ensuring quick and effective placing of incoming and outgoing calls, observing the companys policies on confidentiality.
  • Making full use of internal communication systems i.e paging system.
  • Ensure that clear pricing information is available within the department; pass any relevant information to the patient in advance of any tests/procedures.
  • To manage all incoming and outgoing mail.
  • Approve electronic bookings received via the relevant system and update any booking received via email.
  • Input bookings within best practice time frame paying attention to the information provided on the patients booking form and treatment setting guidelines as provided.
  • Liaise with Consultants or relevant medical secretaries to ensure patients booked for Theatre lists are as expected and any list orders/requirements are passed on to Theatre for review.
  • Assist with utilisation of theatre space.
  • Key patient charges to the correct episode on the system to capture revenue accurately.
  • To ensure that correct procedures are followed for visitors, contractors, and deliveries i.e. signing in and wearing visitor badges.
  • Maintain patient confidentiality at all times.
  • Capture any NHS co-morbidities and update the clinical coding sheet as required, including sending the clinical coding sheet to the coding team within the set timescales.
  • If required, obtain Pre authorisation for insured patients and confirm patient has pre authorisation or payments received in advance of admission and checking and applying for prior approval for NHS procedures that require it locally.
  • To ensure patients are booked for a pre-operative assessment on the relevant system prior to admission. This job description is intended as an outline of the general areas of activity.   • Answer initial enquiries and register patients ensuring that full Minimum Data Set and Card swipe is collected and updated on the relevant system when required.
  • Create self-pay invoices when required and support in discussing pricing options to secure the booking. Obtain continuation of cover for all insured patients who require it during their stay e.g. Extended length of stay.
  • Discharge pack to be completed and filed in patient records.
  • Ensure accurate admission and discharge process is completed real time on the relevant system.
  • Registration of patients real time on the relevant system where appropriate, and input of pathology request forms.
  • Prepare patient admission pack including electronic wristband, if applicable, to be filed within patient records.
Qualifications, Skills and Experience
  • Maths, English GCSE at grades A to C or equivalent functional skills level 2 evidence
  • Proficient in the use of a PC, including the use of software and systems
  • Basic financial awareness
  • Previous administration experience in a private healthcare environment would be beneficial.
