Job Description

Job Title: AdministratorLocation: Bury St EdmundsHourly Pay Rate:£10.36 to £10.89 dependent on experienceHours: 37.5 per week (Monday to Friday, 9am to 5pm)Length of the contract: 1 monthGrafton Recruitment are now seeking to appoint an experienced Administrator to our Public Sector client based in Bury St Edmunds. The Administrator is responsible for providing high level expertise in administrative, secretarial and office management tosupport the Estates Department in a way that is responsive to their needs and contributes to the effectiveness of their roles.Duties of the Administrator

  • To have an understanding of the Estates Department workload and its complexity.
  • Type emails to the business of the Estates Department functions.
  • To make and receive telephone calls on behalf of the Estates Department from or to members of the public, staff, Managers, MPs or representatives from other agencies.
  • To work autonomously to ensure the effective and efficient delivery of all administrative processes.
  • Manage, coordinate, prepare and distribute documents for Senior Management meetings including minute taking as required.
  • Ensure all documentation is completed and verified in accordance with procedures and protocols.
  • Provide an effective interface with a range of people which involves ensuring that the interface portrays a positive image of the organisation and that account is always taken of the political sensitivity, and often the very confidential nature, of thework involved.
  • Responsible for assessing highly confidential and complex information, at times dealing with distressing or contentious situations, requiring tact, sensitivity and diplomacy, to ensure positive resolutions.
Role Criteria
  • Experience of using database systems.
  • Experience of Microsoft Office.
  • Working knowledge of data protection and patient and staff confidentiality requirements.
  • Able to draw on strong communication and problem-solving skills to resolve telephone and other queries from staff or service users, who may on occasion be emotional.
  • Strong analytical and critical reasoning skills and effective problem-solving ability.
  • Experience of setting up and operating administrative procedures required for the efficient management of office business.
  • Experience of working unsupervised, and autonomously taking decisions on own initiative at times.
