REED are working with a fantastic Client, based in Yatton, North Somerset, recruiting for an Office Support Assistanton a full time, permanent basis.This role is an EXTREMELY varied role, and requires someone who is well organised, has a strong attention to detail and willing to get involved in a wide range of duties.This role ranges between Administration to Reception, Secretarial to Marketing, Health and Safety to Office Support.Below is a range of duties and responsibilities that you could be involved with:Provide secretarial and administrative support to Area Sales Managers, Senior Managers and colleagues within Sales & Marketing DepartmentsAct as a key contact for requests for marketing materials and other general enquiriesArrange travel and hotel bookings for MD and other key staff as requiredAssist with other projects to support the Business Support DepartmentProvide hospitality, hygiene and serviceEnsure the efficient operations of the Print RoomOffer a welcoming, courteous, friendly, helpful and efficient service to visitors and staff alike in all areas of the department, including Reception coverProviding written documentation for customers and other contacts using in house database (Goldmine) and Microsoft WordArranging distribution of marketing literatureBooking accommodation & flightsBooking domestic showroom visitsEditing monthly sales reportsProof reading of marketing materialsOrganising Christmas partyOccasional typing required by other departments.Organising bookings for hospitality including confirming visitsEnsuring that hygiene standards are met and maintained, aprons, gloves, hairnets and appropriate footwear is worn within kitchen areas and that areas of preparation are kept clean/disinfected and that food is covered etc.Responsible for cleaning and maintaining cleanliness in all food preparation areas including communal kitchens and fridges as this falls outside of external cleaning contractorsResponsible for all incoming and outgoing mail, ensuring that this is distributed or despatched each dayReplenishing the stock of trade manuals, stationary and brochuresLiaising between area sales managers and end-users.Managing franking machine, and postal services ensuring funds topped up and sufficient stock levels of franking suppliesAnswering incoming telephone calls and emails from enquirers including the public, builders and architects relating to requests for details of suppliers of our productsAssisting with the preparing and releasing customer mailshots, mail merges and direct mailingPurchasing stationery and office suppliesMeeting and greeting visitors and contact relevant member of staff ensuring all visitors sign in and are issued a badge and necessary hi viz vest etcCourier deliveries to be signed for, recorded and distributed accordinglyTaking temperature checks for all members of staff and visitorsInforming your manager about health and safety issues or concernsReporting accidents and near misses to team leader/managerHours:Monday - Thursday 8.30am - 5.00pmFriday - 8.30am - 4.00pm
