Job Description

The administrator will be providing the following support to the team.Duties include:

  • To coordinate all support services within the gynaecology department as part of the team to ensure a clean, safe and comfortable department.
  • To assist with the reception duties within the department on a daily basis .
  • Spot cleaning i.e. ensure spillages are dealt with swiftly and efficiently in the theatres and all associated areas. Body fluid spillages to be notified to ward staff.
  • Ensure any non-clinical equipment is in a clean condition and available for immediate use.
  • Upkeep of unit appearance e.g. remove clutter, remove dirty cups, tidy notice boards and leaflet rack, signage, moving of light furniture.
  • Liaise with other departments as appropriate.
  • Establish and maintain cleaning schedules for non-clinical items e.g. drip stands.
  • Establish a schedule for removing of equipment and consumables in all areas of the unit that prove difficult to clean on a daily basis, to ensure that all areas have periodic cleaning e.g. store rooms
  • Ensure all trolleys are clean and appropriate sticker attached
  • To assist in the monitoring and maintaining of cleaning standards in the department
  • Ensure that agreed cleaning schedules are adhered to. Report and record any failure to comply whilst working in collaboration with the Sodexo management team.
  • To assist with the checking in and flow of patients within the theatre reception area.
  • Ensure that all cleaning matters are documented in the appropriate book as per trust policy and address and addressed.
  • Appropriate escalation of any issues re Sodexo to the department Leads of the department
  • Attend regular partnership ward walk around with the Ward Manager, Domestic Monitoring Manager and Sodexo site manager.
  • Keep Ward Manager informed of issues that you are unable to resolve or are out of your control.
  • Ensure that the following programmes are adhered to and record and sign off the work: - curtain changes, window cleaning schedule, periodic cleaning/ painting etc.
  • Daily checks for sheets/blankets/ pillow cases ensuring appropriate stock level for daily workload.
  • Daily checks of the staff coffee room to ensure daily cleaning is in place and refrigerator and area is kept clean and tidy.
  • Be the safety champion for the department and ensure correct checked are completed. Maintenance:
  • Ensure the following schedules are adhered to and record before signing off the work wall washing, vents, canopy cleaning and painting.
  • Establish progress with incomplete works and escalate where appropriate to the department leads.
  • Liaise with ward manager with reference to minor work requisitions.
  • Medical equipment tracking where appropriate eg keeping records of equipment sent to medical electronics Receptionist Duties
  • Coordination of any visitors to the department to ensure the safety of patients, staff and relatives.
  • Arrange deep cleaning when necessary
  • Follow Trust procedure and liaise with NHS supplies/ medical electronics/ service provider for the correct disposal of items for scrap.
  • As part of the team, identify areas where environmental funding would be beneficial
  • Respond to request for general information
  • Receive and pass on information to others, maintaining confidentiality
  • Assistance with induction of Partnership staff
  • Assist in the training of new Housekeepers as required
  • Additional administration duties as required
The skills required are:
  • Have exceptional attention to detail and accuracy.
  • Be experienced using Microsoft Office
  • Attention to detail.
  • Experienced in an office-based role.
