Job Description

External Relations AdministratorNature of the Role: Part time 3 days (0.6 FTE) in the first instanceResponsible to: Director of External RelationsResponsible for: Administration for the External Relations team, especially relating to outreach and recruitment of learners, and administration for the alumni and volunteering programmesSalary Range: £21,000 -22,500 Pro RataWelcome to Ada!Ada is a ground-breaking college and charity focused on using tech as a tool for social mobility and addressing the diversity and gender gaps in the tech sector and providing our industry partners with a new pipeline of diverse digital talent. Our mission is to educate and empower the next generation of diverse digital talent.The External Relations Team is responsible for Adas external face and the many ways we engage with external partners and the public. As the team administrator you would be an instrumental part of helping develop and maintain our relationships with schools, potential learners, volunteers, alumni, our philanthropic partners and our wider community.Specifically, you would work closely with our Outreach ManagerWeve had great success with fundraising, business development and broader stakeholder engagement since opening in September 2016. We are now at an exciting stage of growth as we opened a second campus in 2019 and will open a Manchester campus later in 2020. We need your skills and ideas to meet our income targets, manage an increasing portfolio of high-profile relationships and to raise the profile of the college.Your skills, your commitment to our mission and your mindset will be vital in helping us be the most effective team we can be and will give you the chance to be part of fundamentally impacting the diversity and access gaps in the tech sector.As External Relations Administrator some of your responsibilities would include:Sixth Form Outreach and Recruitment

  • Booking applicants for assessment centres on Acuity and sending email confirmations
  • Managing students returning paperwork and tasks
  • Correspondence with students including offer/rejection emails and acceptances
  • Apprenticeship Outreach and Recruitment
  • Screening candidates to see that they meet specified eligibility criteria
  • Creating schedules for phone interviews or Maths/Literacy assessments
  • Correspondence with potential apprentices for responses and any further information
  • Advertise open roles on relevant job boards
  • Accurately update and maintain data on internal systems
  • Liaise with apprenticeship team to share progress and information as necessary
  • Volunteering
  • Facilitating compliance of coaching process to ensure coaches complete all steps
  • Scheduling training sessions
  • DBS check scheduling
  • Track volunteering record to ensure it is up to date
  • Alumni
  • Manage alumni database and mailings
  • Event management

  • Experience managing a database
  • Experience of professional level correspondence
  • Demonstrable written and verbal communications skills
  • Strong commitment to Adas vision and mission; and a strong belief in your capacity to make a positive impact towards them
  • Desirable:
  • Familiarity with apprenticeships and the apprenticeship market or the education sector
  • Experience of fundraising
  • Experience of outreach or recruitment
  • A proven track record of achieving funding through grant applications and individual giving
  • Experience of event management
  • Experience working in a technology-related field or a passion for technology
  • Personal Qualities, Aptitudes and Skills:
  • Exemplary communication skills, including a very high standard of written communication skills and the ability to speak confidently to a range of audiences.
  • Excellent organisational skills and the ability to assess, prioritise and manage a varied and demanding workload;
