Job Description

Service Administration AssistantExceeds Minimum Wage, dependent upon experiencePermanent Full Time 8.30 to 5.00pmOn call duties once trained25 holiday days a year + statsIncluded within the company pension schemeA national Heating, Ventilation and Air Conditioning Company specialising in design, installation and maintenance currently have a vacancy for a Service Administration Assistant within their Rotherham office. Providing support to the service department andworking as part of a busy team your duties will include the following:Main duties

  • Answering incoming calls and providing excellent customer service
  • Assisting with the preparation and delivery of quotations
  • Raising of sales invoices and dealing with queries to resolution
  • General administration duties i.e. letters, incoming mail, filing and archiving etc
  • Provide a professional meet and greet service to visiting clients
  • Assist in developing an asset management register and maintenance of such
  • Regular update of service documentation
Adhoc and role development
  • Supporting the accounts department with the inputting of purchase and sales invoices
  • Co-ordinating mobile engineers nationally, liaising with customers on site to meet expectations
  • Placing and managing orders for equipment with suppliers and subcontractors
  • Participating in an on-call rota including weekends
  • Any other duties the role requires
Person SpecificationReporting directly to the Service Manager the ideal candidate will demonstrate the following skills:
  • A high level of attention to detail
  • Ability to work to demanding deadlines
  • A good, confident telephone manner offering enthusiasm and a happy to help attitude with customers
  • Excellent IT skills including Excel and knowledge of other packages and online portals
  • Previous experience of working within a busy office environment is essential
  • Methodical approach with good organisational skills
  • Ability to work under pressure
  • Ability to use their own initiative
  • Work well as part of a team
Further to these skills the candidate should have a can do attitude and show a willingness to undertake further responsibilities and to learn new skills.The successful candidate will benefit from onsite training however external courses may be applicable and provided. This role will develop as the candidate progresses.Closing Date 5th October 2021
